    Description

    Neumann University is currently seeking a qualified applicant for the full-time position of Administrative Assistant to the Associate Provost/Dean of the School of Business within the university's School of Business.

    Duties & Responsibilities:

    • Provides support for the Associate Provost/Dean; Including but not limited to preparing correspondence and reports; preparing agenda and minutes for meetings; maintaining calendar; scheduling and confirming meetings and appointments with faculty, staff, and students.
    • Serves as a receptionist to the Associate Provost/Dean and to the school; answers incoming telephone calls, provides routine information, channels questions to appropriate areas across the University, and proactively anticipates the needs of the Associate Provost/Dean's office.
    • Monitors and assists in the management of the school budget and maintains invoices of expenditures for all budgets in the school. This includes preparing & maintaining budget Excel spreadsheets at the direction of the Associate Provost/Dean.
    • Prepares correspondence and contract requests regarding course assignments and for per semester course loads for full-time and adjunct faculty, including directed studies, in specified programs and maintains database of such information for the entire School.
    • Prepares correspondence and contract requests for program directors and coordinators each semester and maintains database of this information for the entire School.
    • Supports the accreditation process for the school.
    • Make travel arrangements for Associate Provost/Dean when necessary.
    • Provides administrative support as appropriate to faculty and staff members of the school and for search committees when necessary.
    • Prepares forms and communications related to academic probation, academic awards, faculty, and staff evaluations.
    • Submits requests for payments, contract requests, etc. as needed and maintains corresponding records accordingly.
    • Organizes and manages faculty, adjunct faculty, and student files in electronic format.
    • Communicates proactively regarding course scheduling, faculty contracts, budget, documentation tracking, etc.
    • Works closely with the Associate Dean of the School of Business to manage applicant materials, organize and manage student files, and prepare program reports.
    • Collects faculty/staff schedules for the entire School at the beginning of each term.
    • Completes all administrative tasks related to business programs, including but not limited to schedules, preparing contracts, and submitting invoices.
    • Collects curriculum vitae and resumes for all full-time and adjunct faculty at the beginning of each academic year as needed.
    • Tracks e-book orders for courses in the school prior to each semester.
    • Edits School of Business websites as needed.

    Qualifications:

    • Associate degree required, bachelor's degree preferred
    • Prior experience in an educational or business setting
    • Proficiency in technological applications, computers, and word processing software
    • Effective oral and written communication skills
    • Ability to plan, organize, attend to details, take initiative, and work independently to complete tasks
    • Ability to prioritize and multi-task in a busy work environment with frequent distractions
    • Ability to maintain a hospitable and professional office environment
    • Ability to handle and communicate confidential information
    • Willingness to adjust work schedule when needed
    • Demonstrated computer applications skills; must be proficient in all aspects of Microsoft Office, especially Excel
