    JOB DESCRIPTION Shepaug Regional School District 12 Bridgewater - Roxbury - Washington, CT POSITION TITLE: Administrative Assistant to the Superintendent of Schools JOB SUMMARY: Under the direct supervision of the Superintendent of Schools, the assistant will provide a wide variety of complex and confidential administrative support. QUALIFICATIONS: High school graduate with college level coursework in business, Associates or Bachelor's degree preferred with demonstrated success and experience in the following areas: Displaying strong interpersonal skills and the ability to build relationships with stakeholders, including community members, staff, board members and external partners Exhibiting the ability to work effectively both independently and as part of a team Adapting to various competing demands JOB REQUIREMENTS: Specific skill and knowledge-based competencies required to satisfactorily perform the functions of the job include: Advanced proficiency in Microsoft Office, Google Workspace, and office technology systems. Knowledge of school district operations and governance structures. Familiarity with Connecticut educational regulations and public-sector procedures preferred. Specific ability-based competencies required to satisfactorily perform the functions of the job include: Understanding district policies. Maintaining and modeling high standards of confidentiality. Maintaining accuracy of work products. Demonstrating fiscal responsibility. Demonstrating the ability to manage conflicts. WORK ENVIRONMENT: Work is performed primarily in an office setting with frequent interruptions and multiple competing priorities. The position requires regular interaction with district staff, Board members, parents, community members, and external agencies. PERFORMANCE RESPONSIBILITIES: Executive Support to the Superintendent of Schools: Manage Superintendent Office budget and purchases. Manage the superintendent's calendar, schedules appointments and meetings, and coordinates logistics for conferences and events. Track assignments, deadlines, and follow-up activities on behalf of the Superintendent. Assist in the planning and implementation of district initiatives and strategic projects. Prepare reports, surveys, presentations, and data summaries as assigned. Draft, edit, proofread, and distribute correspondence, reports, memoranda, presentations, newsletters, and other documents. Submit state and federal reports. Manage and respond to Freedom of Information Act requests and coordinate other requests for information. Ensure proper retention and disposal of records in accordance with district policy and legal requirements. Manage the enrollment process for all tuition-in students, both new and returning. Assist school-level staff with complicated residency matters. Human Resource Support: Support essential Human Resources functions including but not limited to job postings, onboarding, overseeing personnel files and ensuring compliance with state and federal laws with respect to mandatory employee trainings. Maintain and update Frontline Applitrack software for applicant tracking. Maintain confidential files and records related to personnel matters, legal issues, labor relations, student concerns, and administrative operations. Responsible for employee certification tracking and compliance documentation. Board of Education Support: Prepare and manage the Board of Education and District calendars. Attend and take minutes at all Board of Education meetings. Maintain all records of the Board, including Board policies, and ensures their safekeeping and availability for public inspection in accordance with state law and district policy. Coordinate scheduling and logistics for Board of Education meetings, conferences, presentations, and special events and student and staff recognition events. Administrative Team Support: Assist Cabinet members, departments, and schools with state and local compliance processes and submits reports as needed. Maintain administrative regulations, procedures and forms. Proofread reports prepared by administrators as needed, including Board presentations. Review fliers submitted for district-wide distribution. Additional Duties: Serve as a Notary Public. Perform other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the District. TERM OF EMPLOYMENT: The required work year for this position is 12 months Salary, benefits, and conditions of employment shall be established by the Board of Education in accordance with applicable policies, agreements, and regulations. The Board of Education reserves the right to amend this job description and assign additional duties as necessary to meet district needs.
