Administrative Assistant – Transportation Department

Pay: $21–$26/hr
Duration: Temp-to-Hire
Hours: Monday–Friday, 8:00 AM–4:30 PM (flexibility required based on workload)

Our client is seeking a detail-oriented Administrative Assistant to support a small, collaborative transportation team in a fast-paced plant environment.
This is an excellent opportunity for someone who enjoys keeping things organized, managing documentation, and working closely with multiple departments to keep operations running smoothly.
What You’ll Do:
• Prepare customer and shipment documentation including bills of lading, manifests, logs, addendums, and related paperwork
• Perform high-volume data entry with strong attention to detail and accuracy
• Coordinate with drivers, plant staff, technicians, and leadership regarding pickups and daily transportation activity
• Contact customers to schedule pickups and confirm shipment details
• Maintain and update electronic records for truckloads, pickups, and transportation activity
• Scan, file, and organize critical documentation
• Assist with front desk coverage, phone support, and truck scale operations as needed
• Support compliance initiatives tied to environmental, health, and safety standards
What We’re Looking For:
• 2+ years of Administrative Assistant or office support experience
• Strong compliance mindset with the ability to follow procedures carefully
• Excellent organizational, note-taking, and time management skills
• High level of accuracy and attention to detail
• Eagerness to learn, take feedback, and grow within the role
• Proactive, dependable, and motivated work style
• Strong communication skills and ability to work across teams
• Proficiency with Microsoft Office (Excel and Word required; PowerPoint a plus)
Preferred Backgrounds:
• Transportation / DOT administration
• Insurance documentation
• Lab or regulated environments
• Heavy data entry and document control roles
Education:
• Associate’s degree preferred
• High school diploma accepted with relevant experience
