Administrative Assistant

About the Role

Are you an organized Administrative Assistant who thrives on keeping people, projects, and operations running smoothly?

Thundermist Health Center is seeking an Administrative Assistant to support leadership within our Medical and Dental departments. In this highly visible role, you will serve as a key administrative resource for staff, managers, vendors, and community partners while helping ensure the efficient day-to-day operations of our health center.

From coordinating meetings and preparing reports to managing special projects and responding to urgent operational needs, youll play an important role in supporting teams dedicated to delivering high-quality, patient-centered care. Your work will directly contribute to Thundermists mission of advancing health equity and improving access to care for Rhode Islands diverse and underserved communities.

What You'll Do

  • Provide administrative support to Medical and Dental department leadership.
  • Coordinate meetings, schedules, conference calls, teleconferences, and special events.
  • Prepare correspondence, reports, presentations, meeting minutes, and other business documents.
  • Create and maintain spreadsheets, graphs, reports, and presentations for operational and strategic initiatives.
  • Support grant application coordination and other special projects.
  • Answer and route incoming calls and serve as a primary administrative point of contact for staff and vendors.
  • Facilitate customer service hotline responses, including tracking concerns and documenting resolutions.
  • Process timesheets and assist with payroll-related administrative functions.
  • Coordinate office and medical supply orders, equipment purchases, and maintenance requests.
  • Assist with facility-related needs and help address urgent operational issues in the absence of department leaders.
  • Perform general office duties including filing, copying, mail distribution, and records management.
  • Provide occasional front desk support as needed.

What We're Looking For

  • Associate degree in Business, completion of an accredited secretarial program, or a minimum of five years of administrative support experience.
  • Advanced proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines independently.
  • Strong written and verbal communication skills.
  • Knowledge of office procedures, business correspondence, and administrative best practices.
  • Ability to exercise sound judgment, maintain confidentiality, and respond effectively to changing priorities.
  • Experience creating reports, presentations, spreadsheets, and other business documents.
  • Experience supporting healthcare, medical, dental, or community health operations.
  • Strong customer service orientation and professionalism when interacting with patients, staff, and external partners.
  • Ability to remain calm, flexible, and resourceful in a fast-paced environment.

Schedule & Locations

This is a full-time, 40-hour-per-week position. Typical hours are Monday through Friday, approximately 8:30 a.m. to 5:00 p.m., with occasional flexibility required based on operational needs.

Work Environment

This position is based at a Thundermist Health Center location and includes a combination of desk-based administrative work and movement throughout the facility. Moderate physical activity, including walking, standing, stooping, and occasional lifting, may be required. Employees may have potential exposure to infectious diseases and other healthcare-related environmental risks and are expected to follow all safety and infection-control protocols.
