Administrative Assistant, Warehouse Administration & Billing

The Administrative Assistant will oversee daily duties within the office and the team. We are looking for a master multi-tasker with good communication skills, attention to detail, and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone and email, and assisting with any duties needed around the office.

Duties and Responsibilities:

  • Handling office tasks, such as generating reports and presentations, setting up for meetings, and reordering supplies
  • Transcribing minutes from meetings/conference calls into actions and follow up for completion or escalations accordingly
  • Maintaining SOPs and working instructions to ensure they are always up to date and distribute accordingly between the team both onshore and offshore
  • Checking invoice portal and maintaining follow ups on outstanding invoices with operators
  • Making travel arrangements, such as booking flights, cars, and making hotel/restaurant reservations
  • Following up on meeting tasks and completion
  • Updating vendor management documentation, reporting and scorecards
  • Organizing and preparing meeting schedules for various departments

Educational background / Work experience:

  • Associate's degree in Business Administration preferred.
  • 2-3 years of clerical, secretarial, or office experience
  • Data entry experience

  • Excellent organization and computer skills

  • Ability to work to deadlines, frequent changes and new priorities
  • Good communications skills, and ability to work in a team environment
  • Proficient in use of Microsoft applications. PowerPoint and Excel experience preferred
  • Excellent written and verbal communication skills
  • Able to complete complex administrative tasks with minimal supervision
  • Comfortable with routinely shifting demands
  • High degree of attention to detail

The expected base pay range is $20.75 – $24.25 Hourly. Actual compensation will be determined based on job-related factors such as relevant experience, skills, education, certifications, and geographic location, in accordance with applicable laws and company policy.
