Job Details

We are seeking a highly organized and detail-oriented Programs Associate to support program operations, grant administration, community initiatives, and organizational effectiveness.

This individual will serve as a key operational partner, helping manage grant processes, maintain data integrity, coordinate projects, support reporting efforts, and ensure efficient execution of programmatic initiatives.

The ideal candidate is proactive, resourceful, analytical, and thrives in a fast-paced environment where attention to detail and relationship-building are equally important.

Key Responsibilities
Program & Grant Administration
  • Support the full lifecycle of grantmaking programs from application through evaluation
  • Maintain grant documentation and records
  • Assist with due diligence activities and organizational reviews
  • Track grant timelines, deliverables, and reporting requirements
  • Coordinate communications with nonprofit partners and stakeholders
  • Support process improvement initiatives across programs

Operations & Administrative Support
  • Coordinate meetings, agendas, materials, and follow-up action items
  • Maintain electronic and physical records
  • Prepare and organize documentation for audits and compliance reviews
  • Assist with office operations and administrative functions
  • Support cross-functional projects and organizational initiatives

Data & Reporting
  • Maintain accuracy within grants management and reporting systems
  • Generate reports and analyze program data
  • Assist with survey administration and data collection efforts
  • Monitor performance metrics and outcomes
  • Support data-driven decision-making and continuous improvement

Research & Community Engagement
  • Conduct research related to community initiatives and program opportunities
  • Support stakeholder engagement activities
  • Assist in preparing presentations, reports, and communications
  • Collaborate with internal and external partners on strategic projects

Qualifications
  • Bachelor's degree or equivalent combination of education and experience
  • 3+ years of project coordination, program administration, operations, executive support, nonprofit, foundation, or grants administration experience
  • Strong organizational and project management skills
  • Experience managing multiple priorities and deadlines simultaneously
  • Exceptional written and verbal communication skills
  • Strong analytical and problem-solving abilities
  • High attention to detail and accuracy
  • Ability to handle confidential information with professionalism and discretion

Preferred Experience
  • Nonprofit, foundation, philanthropy, or grantmaking experience
  • Executive administrative support experience
  • Data reporting and analysis
  • Community engagement initiatives
  • Grants management platforms
  • Survey and reporting tools
