Administrative Assistant

Wellesley, MA | Hybrid Schedule

Salary Range: $50K-$60K annually DOE

Established real estate advisory firm focused on affordable and mixed-income housing planning, development, and monitoring services throughout Massachusetts and New England.

This Administrative Assistant role supports affordable housing compliance, homeowner qualification, and resale coordination for regulated homeownership programs.

Responsibilities
  • Assist with affordable housing qualification activities including application review, income verification, and compliance documentation
  • Support resale and transaction coordination including disclosures, regulatory paperwork, and file tracking
  • Review applicant files to ensure compliance with affordable housing program guidelines
  • Coordinate property visits, take photos, and maintain accurate project and listing records
  • Assist with annual homeowner certifications and ongoing monitoring activities
  • Communicate with applicants, homeowners, attorneys, municipalities, and lenders regarding required documentation
  • Facilitate resale and mini-lottery processes between buyers and sellers
  • Prepare forms and maintain organized electronic files
  • Track deadlines and maintain accurate reporting
Required Qualifications
  • At least 2+ years of administrative, customer service or related experience required
  • Strong attention to detail and ability to manage compliance-sensitive documentation
  • Proficiency in Microsoft Word and Excel
  • Valid driver's license and reliable transportation required for property visits (mileage reimbursement provided)
Preferred Qualifications
  • Real estate paralegal experience or Massachusetts real estate license preferred
  • Exposure to affordable housing, housing lotteries, or regulatory real estate programs
  • Familiarity with Spectrum affordable housing qualification standards
  • Interest in working with municipalities, developers, and programs
The schedule for this position is Monday-Friday, 9AM-5PM. This is a hybrid role with 2 days in-office and 3 days remote. This is a Direct Hire opportunity.
