Location: West Chester, PA Duration: 6+ Months
Manager Notes: The nature of this role is such that it might be better filled by a more junior candidate (0-3 yrs exp). We are looking for a level of flexibility that might not be as good of a fit for an administrative professional with set expectations that come from years of experience in a traditional Admin Assistant role. Our ideal candidate would be a high energy, service orientated person that is eager to learn and with a "can-do" attitude. Biologics industry background a PLUS. Will support a team of five managers. Working alongside Executive Assistant, client willing to train the right candidate. Interview process will include an initial phone screen, then face-to-face meeting with VP, Biologics CMC.
Responsibilities: Provide administrative support for Biologics CMC senior staff including but not limited to: a) Day to day support for the Biologics Manufacturing Facility as well as Process Development scientific staff b) Coordinate travel arrangements and prepare expense reports in iExpense. Support for the Biologics CMC department to include but not limited: a) Provide customer service and act as primary departmental resource to answers questions related to office operations and all established site and/or corporate policies and procedures b) Schedule departmental meetings and lunch requests on an ad hoc basis c) Coordinate and place all departmental IT, facility, and maintenance requests d) Facilitate internal client communications to the Biologics CMC department by acting as central point of contact for dissemination of site wide alerts e) Consolidate and place weekly office supply orders. Assists in any event planning activities including both departmental and site wide events this may include support capturing the events via video and/or photographs. Implement organizational structure to provide efficient workflow including the archiving of critical documents using SharePoint or other server-based solutions.
Functional Skills: Ability to provide a high-level of customer service while working in a dynamic team environment. Must maintain confidentiality in daily operations. Capable to work with minimal supervision and display a high level of flexibility to address new challenges on a daily basis. Must be an action oriented, high-energy individual that thrives while working with a diverse range of personalities. Create and edit pictures and videos of group functions.
Education required: High School Diploma or equivalent; College degree preferred. Experience required: 0-5 year administrative experience. Must be proficient with MS Office Suite, internet and e-mail (Outlook). Desire at least one year experience in a pharmaceutical environment.
