Job Title: Administrative Assistant
Location: West Deptford, NJ
Pay Range: $18 - $20 hr
Shift: Monday through Friday, 8:00 AM to 4:30 PM (30-minute lunch)


Position Overview

Our client, a leading organization in the manufacturing industry, is seeking an Administrative Assistant to join their team. As an Administrative Assistant, you will be part of the administrative support team, ensuring smooth daily operations and effective communication within the organization. The ideal candidate will demonstrate strong organizational skills, excellent communication, and a proactive attitude, which will align successfully with the organization.

This role will initially focus heavily on managing incoming calls and providing exceptional customer service, with the opportunity to expand into a broader administrative position over time.


Key Responsibilities

Office, Administrative & Customer Support

  • Manage day-to-day office operations, including correspondence, filing, and general administrative support
  • Serve as the first point of contact for incoming calls and inquiries, providing professional and customer-focused service
  • Support both internal teams and external customers with accuracy, urgency, and attention to detail
  • Maintain a strong, warm, and helpful phone presence while managing a high volume of calls
  • Draft internal communications such as emails, memos, and announcements
  • Prepare customer statements and assist with customer-facing documentation
  • Prepare, edit, and distribute documents, reports, and presentations
  • Maintain electronic and hard-copy filing systems
  • Manage incoming and outgoing mail, including preparing UPS and FedEx shipments
  • Print orders, generate pallet labels, and create door labels as needed for production
  • Log fire tags and maintain related documentation
  • Assist with shipping customer samples
  • Process proof of delivery (POD) paperwork and maintain required records

Project & Operational Support

  • Identify opportunities to improve administrative processes and workflows
  • Assist in developing and implementing administrative standard operating procedures (SOPs) in partnership with leadership
  • Support cross-functional teams to ensure efficient operations and clear communication

Additional Responsibilities

  • Perform other duties as assigned to support overall operational efficiency and customer experience

Qualifications & Skills

  • Strong phone presence with a warm, professional, and customer-focused approach
  • Ability to manage multiple calls and priorities in a fast-paced environment
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Proactive mindset with the ability to work independently and as part of a team
  • Prior administrative or customer service experience preferred

Work Environment & Dress Code

This position follows a business casual dress code within a professional office setting. Employees must maintain a neat, clean appearance and adhere to safety requirements when entering production areas, including wearing required protective equipment when necessary.
