The position provides executive-level administrative support to the Associate Vice President (AVP) and Chief Information Officer (CIO), encompassing crucial functions for the efficient operation of Information Technology Division activities. This role offers comprehensive support to the AVP/CIO, including communication management, scheduling, and front desk management for staff and visitors. Duties include coordinating communication, fostering collaboration, enhancing business processes, managing financial activities, and ensuring confidentiality and compliance with data privacy regulations. With a focus on maintaining integrity and collaboration, this position supports IT activities while upholding organizational standards and objectives.

Responsibilities include discretion, judgment, knowledge of administrative processes, diplomacy, and the ability to work independently, analyze data, organize large meetings/events, communicate effectively, problem-solve, and maintain private and sensitive information. Additionally, budgetary responsibilities entail purchasing, travel, funds transfers, and expense reallocations.

Administrative functions involve verbal and written communication with all university divisions and departments, collaborating with the Information Technology Department team to enhance business processes and develop creative communication and materials to support fostering a collaborative culture on campus.

Required Qualifications

Required:

  • Associate's degree or equivalent combination of education and experience.
  • 4 years of full-time administrative support and/or office management experience demonstrating the ability to interact with varied departments at a senior level and with minimal supervision
  • Experience with computer programs commonly used in office settings, including Word, Excel, Adobe, PowerPoint, Google Suite, etc.

Preferred Qualifications

Preferred:

  • Experience in marketing, advertising, media sales/advertising, or communications.
  • Demonstrated ability to prioritize complex and varied responsibilities, multitask effectively, and consistently meet deadlines.
  • Knowledge of accounting and purchasing systems, as well as budgetary processes.
  • Strong organizational skills with a proven track record of managing multiple tasks simultaneously.
  • High level of professional judgment and confidentiality, capable of acting as a liaison to staff, students, faculty, executives, and community members.
  • Proficiency in independently solving complex issues and collaborating effectively within a team. Excellent interpersonal communication skills; strong team orientation.
  • Detail-oriented approach with a keen ability to review information for accuracy.
  • Comfortable with independently learning new software programs and staying updated on software updates.
  • Knowledge of University programs and systems. Familiarity with University software, including Ellucian Banner, Tableau, Concur, PAW Place, etc.
  • Strong project management skills, including tracking and coordinating tasks efficiently. Knowledge of project management tools and processes.
