Anchor Behavioral Solutions, LLC is seeking an organized, dependable, and compassionate Administrative Assistant who is also willing to become and work as a Registered Behavior Technician (RBT).
This position combines clinic administrative support with direct client care. The successful candidate will help manage daily office operations, coordinate client scheduling and records, and provide behavioral support under the supervision of a Board Certified Behavior Analyst (BCBA).
Prior RBT experience is not required. Candidates must be willing to complete the requirements to obtain RBT certification and perform both the administrative and direct-care responsibilities of this role.
Key Responsibilities
Front Desk & Reception
Greet clients, families, and visitors in a welcoming and professional manner.
Answer multi-line phones, take messages, and direct inquiries to the appropriate staff.
Sort and distribute mail.
Maintain a clean, organized, and professional reception area.
Clinical & Client Coordination
Organize client referrals and track treatment-plan documentation.
Follow up on missing medical records and other required paperwork.
Schedule client appointments and communicate scheduling changes to families and staff.
Track authorization expiration dates and notify the appropriate team members when follow-up is needed.
Compliance & Records Management
Maintain accurate, organized client files in accordance with HIPAA requirements and company policies.
Upload and update documents in electronic medical/health record (EMR/EHR) systems.
Handle confidential client and company information with discretion.
Administrative Operations
Order and organize clinic and office supplies.
Prepare materials for clinical sessions and office activities.
Assist with basic data entry and other administrative tasks as needed.
Coordinate internal team communications and support daily clinic operations.
RBT Responsibilities
Provide direct client support and implement individualized ABA treatment plans under BCBA supervision.
Help clients develop communication, social, daily living, and other skills outlined in their treatment plans.
Follow prescribed behavior-support strategies and clinic safety procedures.
Collect accurate session data and complete required documentation.
Communicate client progress, concerns, and observations to the supervising clinician.
Provide direct-care coverage during RBT breaks and other assigned periods, once applicable training and credentialing requirements are met.
Participate in required training, supervision, and team meetings.
Obtain and maintain RBT certification.
Excellent verbal and written communication skills, with the ability to interact professionally with families, clinical staff, and insurance providers.
Proficiency in Microsoft Office, including Word, Excel, and Outlook.
Ability to use scanning equipment and navigate EMR/EHR software.
Strong organizational and multitasking skills, with close attention to detail.
Ability to manage time-sensitive paperwork and adapt to changing clinic needs.
A patient, compassionate, and professional approach to working with clients.
Ability to follow clinical instructions, accept feedback, and work collaboratively.
Willingness to obtain RBT certification and regularly perform direct client-care duties.
Preferred Qualifications
Previous administrative, front-desk, or healthcare office experience.
Experience with client scheduling, medical records, or insurance authorizations.
Experience working with individuals with autism or other developmental disabilities.
Current RBT certification is welcome but is not required to apply.
