Job Description

JOB TITLE:                           ADMINISTRATIVE CLERK

DEPARTMENT:                   FINANCE DEPARTMENT- TREASURER’S OFFICE

EMPLOYMENT TYPE:       PARTTIME/NON-EXEMPT

UNION/NON-UNION:        SUPERVISORY AND PROFESSIONAL 

 

The Administrative Clerk performs specialized clerical and financial tasks within the Treasurer’s Office. Key responsibilities include processing accounts payable, managing departmental receipts, supporting benefit-related documentation, and providing customer service. This position requires accuracy, discretion, and strong organizational skills in a fast-paced municipal setting.

DUTIES AND RESPONSIBILITIES

 

Accounts Payable & Financial Transactions

  • Post accounts payable (A/P) warrants to the general ledger.
  • Print and disburse all A/P checks twice weekly.
  • Process voided and reissued A/P checks with appropriate documentation.
  • Prepare and submit weekly bank deposits.
  • Enter and post weekly receipts into MUNIS and maintain all backup documentation.
  • Process general billing batches for outside insurance payments.
  • Process monthly billing batches for grants.

 

Departmental Receipts & Cash Handling

  • Receive, balance, and track weekly departmental turnovers.
  • Perform counter work and issue receipts for department payments.
  • Balance cash drawer at the end of shift.
  • Collect rent payments for Berkshire Artisans.

 

Customer Service & General Office Support

  • Answer phones and respond to in-person inquiries professionally.
  • Provide backup support for the Head Clerk and other department staff as needed.
  • Perform other duties as assigned to support the department.
  • Provides assistance to the Assistant Treasurer in the managing of tax title properties; including payments and tax lien redemptions.

 

QUALIFICATIONS

  • High school diploma or equivalent required.
  • 1–3 years of relevant experience in accounting, bookkeeping, finance, or a related field.
  • Familiarity with computerized accounting systems; experience with MUNIS strongly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and communication skills; ability to interact effectively with the public and staff.

This is an office-based job in a dynamic municipal building.  While performing the duties of the Administrative Clerk, the incumbent is required to: interact and communicate frequently with the public, government officials, other staff members and boards, and/or third parties transacting business with the City.

 

PHYSICAL REQUIREMENTS(The physical demands listed here are representative of those that must be met by the employee to successfully perform the essential functions of this job.  Reasonable accommodations are considered to ensure individuals with disabilities can perform essential functions.)

 

Operates standard office equipment including computers and keyboards, at efficient speed; and move throughout the municipal building which may include flights of stairs. Lifts/moves objects weighing up to 10-20 pounds.

 

HOURS

26 hours a week

Monday, Wednesday and Friday 8:30am – 12:30pm

Tuesday and Thursday 8:30am – 4:00pm


SALARY: 

Starting rate $18.93 - $20.08 an hour

Annual increases up to $27.80 an hour
