JOB TITLE:                           ADMINISTRATIVE CLERK

DEPARTMENT:                   FINANCE – OFFICE OF THE TAX COLLECTOR

EMPLOYMENT TYPE:        FULL-TIME/NON-EXEMPT

UNION/NON-UNION:        SUPERVISORY AND PROFESSIONAL

 

The Department of Finance is seeking a qualified individual to fill the role of Administrative Clerk within the Office of the Tax Collector. Under direction of the Tax Collector, the Clerk is responsible for collecting and receiving revenue which includes parking fines, real estate taxes, excise taxes, water & sewer fees, and various department billings. The candidate will possess exceptional customer service skills, with the ability to handle and deal effectively with the public. In addition, the candidate should possess previous experience with cash handling procedures, as well as working in a fast-paced office environment.

RESPONSIBILITIES

  • Collects and receives revenue including, but not limited to, parking fines, real estate taxes, excise taxes, water and sewer fees, and various departmental billings.
  • Inputs and scans all transactions on computer terminals and provides receipts to customers.
  • Balances cash drawer and prepares deposits for bank daily.  Makes deposits at bank, when needed.
  • Balances checking account statements.
  • Sorts and files daily receipts and merges cashiers’ work and transmits lock box from bank on the computer.
  • Responsible for daily/weekly running and balancing reports and entering information into spreadsheets.
  • Computes interest, fees, and abatements, adding late charges and penalty charges.
  • Provides outstanding customer service by greeting public, answering questions, collecting payments, etc.
  • Performs all related clerical work in connection with the above duties and responsibilities.
  • Performs all related work as required or assigned.

 

QUALIFICATIONS

  • High school diploma or equivalent.
  • At least one year of related experience required, more than one years' experience preferred.
  • Previous cash handling experience is required and essential to perform the duties of this position.
  • Specialized training and/or experience in accounting/bookkeeping/cash handling.
  • Demonstrated skills in providing exceptional customer service and dealing with the public effectively.
  • Excellent communication and problem-solving skills.
  • Strong computer and internet skills, including but not limited to Microsoft Office suite (Excel, Word, etc.).
  • Ability to work in a fast-paced office environment; position requires incumbent to frequently stand more often than sit.
  • Strong attention to detail and ability to multi-task, with further ability to re-focus between such tasks.

 

 

WORKING CONDITIONS

This is an office-based job in a dynamic municipal building.  While performing the duties of the Administrative Clerk, the incumbent is required to: interact and communicate frequently with the public, government officials, other staff members and boards, and/or third parties transacting business with the City.

 

PHYSICAL REQUIREMENTS

Sustained periods of standing; Operates standard office equipment including computers and keyboards, at efficient speed; and move throughout the municipal building which may include flights of stairs. Lifts/moves objects weighing up to 10-20 pounds.

 

HOURS

Monday – Friday, 35 hours per week

8:30am – 4:00pm

 

SALARY

Starting rate $25.10 an hour

Annual increases up to $35.78 an hour
