We're seeking an Administrative Coordinator 2 to serve as the first point of contact at the agency, creating a welcoming environment for clients, patients, and visitors and providing administrative support that keeps our front office running smoothly.

Minimum Qualifications

One year of experience in administrative services.

EXPERIENCE SUBSTITUTION:

Every 15 semester hours earned from an accredited college or university will substitute for six months of the required experience.

Job Duties and Other Information

Job Duties:

  • Maintains a person-centered, recovery orientation to clients regarding their appointments, attentive to client engagement and readiness to service.
  • Determines the appropriate clinical staff to bring urgent life-threatening situations to the attention of and assures that assistance is initiated.
  • Answers all incoming calls to the center/clinic within three rings, determines disposition.
  • Enters income verification into the electronic record system upon return receipt from the client to ensure guarantor information.
  • Completes Medicaid Applications with clients needing to apply.
  • Maintains a person-centered, recovery orientation to clients regarding their appointments, attentive to client engagement and readiness to serve when answering the Centralized Scheduling telephone, main clinic line, or greeting clients as they come in.
  • Manages service appointment scheduling in a manner that assures that clients have timely access to needed services, and in keeping with clients needs and preferences.
  • Manages service appointment scheduling in a manner that assures that direct service providers available time slots are filled promptly and according to standards.
  • Codes - cancelled/ missed /attended appointments in the scheduling program. Interfaces with clinic receptionists/support staff for proper data entry and maintenance of the clinic schedule
