The Office of Juvenile Justice is seeking a detail-oriented and dependable Administrative Coordinator 3 to provide essential clerical and program support to the Regional Office. This role supports daily operations through effective communication, accurate documentation, and strong coordination with agency departments, contracted providers, and community partners.
You will assist with client support, scheduling, mail processing, and administrative communication while maintaining accurate payroll and timekeeping records, managing office supplies, and supporting managers with calendars, travel, and reporting needs. The position requires strong organizational skills, professionalism, and the ability to handle multiple priorities in a fast-paced environment.
This role is ideal for someone who excels in multitasking, communication, and maintaining smooth administrative operations that support the mission of the Regional Office.

Two years of experience in administrative services.

Job Duties and Other Information
Job Duties:
Provides core administrative support - Performs program duties, communicates with departments and clients, manages phones, mail, and appointment scheduling.
Manages documentation & client processing - Compiles referral packets, transfers case records, schedules evaluations, and enters data into logs and databases.
Handles financial & purchasing tasks - Reconciles monthly invoices, tracks provider usage, prepares supply requisitions, and maintains inventory.
Coordinates payroll & timekeeping - Maintains accurate payroll input, tracks leave, FMLA, and overtime for regional staff.
Serves as office liaison - Communicates with agency departments, vendors, community providers, and customers on behalf of the unit.
Supports managerial functions - Assists with scheduling, travel, directives, property control, purchasing, and safety tasks.
Oversees file management & reporting - Maintains closed case files, prepares travel reports, and compiles specialized reports per department standards.
