    Description

    Role Overview
    The Administrative Coordinator provides administrative, operational, and event support across the Advisor Consulting division by coordinating meetings, managing communications, supporting onboarding activities, and assisting with key business initiatives. The ideal candidate is highly organized, professional, adaptable, and capable of managing multiple priorities while delivering exceptional service and maintaining confidentiality. This role serves as the first point of contact for visitors, clients, candidates, and employees while ensuring the smooth day-to-day operation of the office.

    Primary Responsibilities
    • Provide administrative support to the President of Distribution and associated teams through calendar management, document preparation, expense tracking, data entry, and prioritization of urgent communications.
    • Assist with the planning and execution of internal and external meetings, events, training programs, and company initiatives, including logistics, invitations, agendas, vendor coordination, and budget tracking.
    • Coordinate meetings, conference room schedules, travel arrangements, client visits, and other administrative activities to support business operations.
    • Serve as the first point of contact for visitors, clients, candidates, and employees by providing a professional and welcoming office experience.
    • Manage front desk and other office operations, including answering and directing phone calls, handling incoming mail and deliveries, supplies and maintaining a well-organized office environment.
    • Partner with Human Resources, Advisor Consulting, Marketing, National Accounts, and other internal teams to support onboarding, recruiting activities, employee engagement programs, and departmental initiatives.
    • Maintain accurate records, office supplies, and operational processes while identifying opportunities to improve efficiency and enhance the employee, candidate, and client experience.
