    The Administrative Coordinator serves as a key partner to Restaurant Finance leaders and teams by providing administrative, operational, and culture-building support across the organization. This role helps increase team effectiveness through coordination of meetings, events, travel, onboarding, communications, and team engagement activities while fostering a positive and connected team culture. 

    The ideal candidate is highly organized, proactive, people-oriented, and capable of balancing multiple priorities while supporting a growing, cross-functional organization.

    Responsibilities:

    Executive and Team Support 

    • Coordinate complex scheduling across multiple leaders and teams. 
    • Manage calendars and assist with finding meeting times across numerous stakeholders. 
    • Coordinate meeting room reservations and resolve room scheduling conflicts. 
    • Support expense report preparation and submission. 
    • Assist with travel coordination and logistics where appropriate. 
    • Provide administrative support for team planning activities and special projects.  
     

    Meeting and Event Coordination 

    • Plan and coordinate team meetings, leadership meetings, and large cross-functional gatherings. 
    • Arrange room logistics, catering, technology needs, and meeting materials. 
    • Prepare agendas and provide note-taking support for key meetings. 
    • Support recurring team events such as quarterly planning sessions. 
    • Coordinate special meetings and councils, including operator and pricing-related forums when applicable.  
     

    Team Culture and Engagement 

    • Serve as a culture ambassador for Restaurant Finance, helping foster engagement and connection across teams. 
    • Coordinate team celebrations, recognition efforts, and milestone acknowledgments. 
    • Support birthday, anniversary, promotion, and achievement communications. 
    • Organize team-building activities, surprise-and-delight moments, and employee appreciation initiatives. 
    • Partner with leaders and culture-focused groups to strengthen team morale and collaboration. 
    • Provide input and help execute team activities and engagement programs.  
     

    Onboarding and Employee Experience 

    • Coordinate onboarding activities for new team members. 
    • Manage onboarding checklists and orientation logistics. 
    • Create and maintain new hire introduction materials and team profiles. 
    • Gather and maintain team preferences, interests, and resource information to support team connection and engagement. 
    • Help ensure new employees feel welcomed, informed, and integrated into the organization. 
    Required Qualifications (Knowledge, Skills, & Abilities):
    • Demonstrated administrative support experience.
    • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Microsoft Teams, OneNote, Workday, and related collaboration technologies.
    • Strong organizational, planning, and prioritization skills with the ability to manage multiple competing priorities.
    • Excellent written and verbal communication skills.
    • Ability to anticipate needs, exercise sound judgment, and proactively resolve issues.
    • Strong attention to detail and commitment to accurate, high-quality work.
    • Ability to build effective relationships and collaborate across functions and levels of the organization.
    • Ability to manage confidential and sensitive information with discretion and professionalism.
    • Demonstrated adaptability, resilience, and effectiveness in fast-paced, evolving environments.
    • Ability to coordinate schedules, meetings, travel, events, and special projects.
