Harlem Children’s Zone (HCZ) — a world-renowned education and poverty-fighting organization based in New York — seeks an enthusiastic, dedicated, and mission-aligned Administrative Coordinator to join the William Julius Wilson Institute Team.

The Administrative Coordinator will bring a passion for the mission of Harlem Children’s Zone: break the cycle of intergenerational poverty with comprehensive, on-the-ground programming that builds up opportunities for children and families to thrive in school, work, and life.

Through the National Impact Team, HCZ works alongside communities, school systems, governments, philanthropy, and local organizations to accelerate cradle-to-career outcomes and economic mobility nationwide.

The Administrative Coordinator, National Impact, provides administrative and coordination support to an assigned team within National Impact. This role is responsible for supporting day-to-day team operations, coordinating schedules and communications, and helping ensure meetings, events, and administrative processes are effectively managed.

Working closely with the leadership and members of their assigned team, the Administrative Coordinator helps keep priorities organized, activities coordinated, and key administrative processes moving forward. The role also collaborates with colleagues across HCZ and engages with consultants and external partners. This individual must be highly organized, proactive, and detail-oriented, with the ability to manage multiple priorities, exercise sound judgment, and consistently follow through.

Requirements

  • High School diploma
  • 5+ years of experience providing administrative support; experience providing executive-level support is a plus.

  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, and Outlook, with strong calendar management skills.
  • Experience with project management tools, such as Monday.com, is a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational skills, work ethic, and impeccable attention to detail.
  • Ability to manage multiple priorities and consistently follow through on deadlines and commitments.
  • Ability to handle confidential and sensitive information with integrity and discretion.

What you'll do

Administrative & Team Coordination

  • Provide administrative and coordination support to the leadership and members of an assigned National Impact team.
  • Coordinate scheduling and communications for the team, including with consultants and external partners.
  • Maintain the team's calendar and support the coordination of meetings and key activities.
  • Prepare meeting materials, maintain meeting notes, and support follow-up on key action items.
  • Maintain organized team records, files, and other administrative documentation.
  • Handle confidential and sensitive information with discretion and integrity.

Operational Support

  • Coordinate with HCZ departments, including Finance, to support the processing of contracts and invoices.
  • Track administrative priorities, deadlines, and follow-up items to support timely completion.
  • Support team project management and coordination tools, including Monday.com, as needed.
  • Help strengthen administrative processes and systems that support effective team operations.

Meetings, Events & Special Projects

  • Assist with the coordination of conferences, events, meetings, and other team convenings.
  • Coordinate logistics, materials, communications, and other administrative needs for meetings and events.
  • Support special projects and priority initiatives led by team leadership.
  • Collaborate with colleagues and internal HCZ departments to support effective execution of team priorities.
  • Perform other duties as assigned.

Schedule

  • Monday-Friday
  • 5 days a week on site

Opened in 2004, HCZ Promise Academy Charter Schools serves over 1,800 children in two K-12 schools.
