The Department of Clinical Pharmacy & Outcome Sciences in the College of Pharmacy is seeking to hire an Administrative Coordinator to join our team.
The Administrative Coordinator provides administrative services for the Department of Clinical Pharmacy & Outcomes Sciences by serving as the operational hub for department activities. The Coordinator serves as the primary administrative liaison among the department, college, university, affiliated health systems, and external partners to facilitate effective communication and efficient operations. The Coordinator supports the Department Chair, faculty, staff, students, trainees, and affiliated personnel through coordination of faculty affairs, financial operations, research administration, academic programs, communications, and strategic initiatives that advance the department's missions in education, research, clinical practice, and service. The Coordinator exercises independent judgment in coordinating complex administrative processes, managing confidential information, and ensuring the timely execution of department priorities.
Job Related Minimum Required Education and Experience
- Requires a bachelor's degree in a job related field and 1 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Required Certification, Licensure/Other Credentials Preferred Qualifications
- Knowledge of or ability to learn USC policies and procedures, knowledge of Peoplesoft and processing travel and graduate student assistantships.
Knowledge/Skills/Abilities
- Proficient knowledge of Microsoft Office software and Peoplesoft.
- Excellent organizational skills and able to handle multiple, concurrent tasks efficiently.

Research Administration and Financial Operations
Coordinate departmental financial operations and provide administrative support for faculty academic activities to ensure effective stewardship of resources, compliance with university policies, and efficient operations.
Representative responsibilities include:
- Process purchasing requests, travel authorizations, reimbursements, purchasing card reconciliations, and other fiscal transactions in accordance with university and college policies.
- Coordinate procurement of academic, research, and operational resources, including software, databases, equipment, and supplies.
- Monitor departmental, faculty, grant, foundation, and other assigned accounts to ensure appropriate use of funds and policy compliance.
- Prepare financial summaries, expenditure reports, budget analyses, and other fiscal information to support operational planning, resource allocation, and decision-making.
- Track account balances, personnel funding, purchasing activity, and budget status; identify funding concerns, variances, and upcoming commitments, and communicate relevant information to the Department Chair.
- Collaborate with the Assistant Dean of Finance, College Business Office, and other administrative units on budgeting, purchasing, personnel funding, and related fiscal matters.
- Maintain accurate financial records, reconcile accounts, and assist with financial reporting and documentation.
- Recommend and implement improvements to financial and administrative processes to enhance efficiency, accuracy, and compliance

Department Operations and Faculty Support
Coordinate day-to-day administrative operations of the department and provide support to faculty, staff, students, trainees, visitors, and affiliated personnel to ensure efficient operations and effective communication.
Representative responsibilities include:
- Serve as the primary administrative contact for the Department, greeting visitors, responding to inquiries, resolving routine issues, and directing individuals to appropriate department, college, or university resources.
- Collaborate with faculty, staff, students, trainees, research personnel, alumni, and college administrators to facilitate communication and coordinate departmental activities.
- Coordinate meetings, retreats, seminars, faculty recruitment activities, guest visits, and special events, including scheduling, logistics, agendas, materials, minutes, and follow-up actions.
- Provide administrative support to faculty through preparation of course materials, examinations, presentations, reports, correspondence, and other academic and administrative documents.
- Manage departmental communications, including announcements, surveys, website updates, and shared calendars.
- Coordinate information technology requests and serve as liaison with college and university technology support personnel.
- Maintain departmental records, filing systems, shared resources, operational procedures, and administrative documentation in accordance with university policies.
- Coordinate office operations, including supplies, equipment, facilities, and other operational resources.
- Represent the department and Department Chair professionally in interactions with internal and external partners while fostering a welcoming, service-oriented environment.

Coordinate administrative activities supporting faculty affairs, appointments, evaluations, governance, institutional reporting, and academic administration. Ensure accurate collection, organization, and reporting of faculty and departmental information to support operations, accreditation, strategic planning, and institutional decision-making.
Representative responsibilities include:
- Coordinate annual faculty reporting, evaluations, faculty activity reports, teaching evaluations, review processes, and documentation of teaching, scholarship, clinical practice, and service activities.
- Collect, verify, analyze, maintain, and report departmental academic and operational metrics for annual reports, accreditation, benchmarking, strategic planning, and other institutional initiatives.
- Prepare faculty appointment and reappointment documentation and coordinate onboarding, offboarding, and other faculty personnel processes in collaboration with college administrative offices.
- Support department committees, faculty search committees, promotion and tenure activities, elections, governance functions, and other faculty affairs initiatives.
- Prepare meeting materials, confidential voting documents, official minutes, annual reports, and other governance, administrative, and institutional reports.
- Maintain accurate records related to faculty appointments, committee assignments, evaluations, governance activities, and other departmental administrative functions while ensuring confidentiality and sound judgment in handling personnel and other sensitive information.

Provide administrative support to the Department Chair by coordinating complex administrative activities, managing confidential information, and supporting the execution of department priorities and strategic initiatives.

- Draft, edit, and prepare correspondence, reports, presentations, agendas, faculty appointment materials, and other executive-level documents for the Department Chair.
- Prepare, maintain, and safeguard confidential personnel, faculty, and departmental records in accordance with university policies.
- Coordinate departmental projects, strategic initiatives, meetings, advisory groups, search activities, and other administrative functions by preparing materials, tracking timelines, monitoring progress, and following up on action items.
- Assist with preparation of reports, presentations, accreditation documentation, strategic planning materials, and other executive communications.
- Exercise independent judgment in handling sensitive information, resolving routine administrative matters, and determining when issues should be elevated to the Department Chair.
- Serve as a trusted administrative resource by anticipating needs, coordinating departmental priorities, identifying opportunities to improve efficiency and effectiveness, and supporting completion of assigned activities.
- Manage the Department Chair's calendar, appointments, meetings, travel, and correspondence while independently prioritizing competing requests and scheduling demands.
- Perform other executive administrative duties and special projects as assigned by the Department Chair.

- Support graduate education activities, including admissions processes, student records, and graduate program administration.
- Coordinate hiring, onboarding, and administrative processes for graduate assistants, student employees, temporary employees, postdoctoral scholars, adjunct personnel, consultants, and other grant- or department-funded personnel in accordance with university policies.
- Assist faculty with administrative processes related to personnel supported through grants, contracts, or departmental funding.
- Coordinate and maintain personnel and student documentation, including appointment forms, tuition, stipends, insurance, fees, background documentation, and other employment- and student-related records, as applicable.
- Coordinate departmental seminars, visiting scholars, guest speakers, and student engagement activities.
