HR Source is looking for an organized, dependable, and people-focused Administrative Coordinatorto join our team. In this role, you'll help support the day-to-day work that keeps our organization running smoothly. You'llprovide administrative support across several areas of the organization, helping with member and customer communication, event and training coordination, database updates, billing support, and general office operations.

Where are we?
Our office is in Downers Grove, Illinois. Our team currently enjoys a hybrid work schedule. Occasional, single-day travel throughout the Chicago metro region to attend conferences and work events is required.
What are the job duties?
- Provide administrative support to internal departments and staff.
- Answer and direct incoming phone calls and respond to general inquiries.
- Maintain the accuracy and integrity of records in our database through regular updates, edits, and ongoing data maintenance.
- Retrieve, update, and manage information needed to support member, event, and office operations.
- Support member engagement and retention efforts through phone and email outreach.
- Assist with schedulingand coordination of meetings, events, training sessions, and other activities.
- Support business development and service delivery efforts by coordinating communications, preparing and tracking proposals, and following up on opportunities as needed.
- Prepare, print, assemble, and distribute materials for meetings, events, and training programs.
- Coordinate logistics such as room setup, office supplies, equipment maintenance, and catering as needed.
- Create invoices, billing documents, and other administrative records, and help support payment issue resolution and account updates.
- Perform other related duties as assigned.
What are the job requirements?
- Associate degree or equivalent combination of education and work experience.
- Strong organizational skills and close attention to detail.
- Excellent written and verbal communication skills.
- Comfort communicating with members, customers, and colleagues by phone and email.
- Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, Teams and other virtual meeting platforms.
- Ability to learn specialized software programs and processes.
- Membership database or CRM experience a plus.
- A flexible, team-oriented approach and willingness to learn and improve processes.
- Ability to incorporate AI tools and technologies into daily work processes to enhance efficiency, productivity, and impact.
- Previousassociation experience a plus.
What is the work environment?
This is a hybrid position and requires a minimum of 3 days per week in the office.This role may also help with meeting, training, or event setup, including moving supplies or materials of up to 15 pounds. Occasionally,single-day travel throughout the Chicago metro region may be required for conferences and work events.
