Bachelor's Degree in related field. Two years relevant administrative assistant experience or experience in a related field. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position
Performs advanced administrative support duties for the Department of Forensic Science.
Primary Responsibilities
Provides specialized department-level support for graduate programming including accreditation needs, marketing and recruitment efforts, coordination of graduate advising, admissions, and liaison with Enrollment Management and the Registrar's Office. Coordinates doctoral portfolios, qualifying examinations, and defenses (MS and PhD) in accordance with accreditation requirements and institutional policies. Maintains and updates department social media platforms and websites to promote graduate programs, highlight student and faculty achievements, communicate important announcements, and support recruitment and outreach initiatives. Maintains Institutional Review Board (IRB) and external funding (grant) records for the department, including applications and final awards. Provides administrative support for grant-funded activities. Compiles, tracks, and reviews data and reports. Maintains and tracks data to comply with Anthology, THECB, and FEPAC requirements. Processes applications for MS and PhD programs, assists students with financial aid and other advising needs, processes scholarships, and coordinates travel and research grants from The Graduate School. Coordinates graduate student orientation, open house events, and other department events including, but not limited to, marketing and recruitment activities. Attends graduate advisor trainings and events; maintains and updates the MS and PhD handbooks, dissertation chair handbooks, and other graduate program materials. Responds to inquiries from prospective, accepted, and incoming students. Coordinates postgraduate, curriculum, and exit surveys. Maintains postgraduate databases (student outcomes), publication and grant metrics, and other data for assessment plans and continuous improvement activities. Provides assistance to departmental leadership and performs other duties as assigned. Provides administrative support for student and faculty travel, stipends, scholarships, assistantships, grants, and training. Assists with qualifying examination paperwork, dissertation approval forms, and final presentation approval forms. Supports activities related to marketing, recruitment, admissions, and enrollment management. Provides administrative support for policy development and documentation necessary to support doctoral programs. Schedules appointments and activities. Compiles, tracks, and reviews data and reports. Attends meetings and records minutes. Prepares, reviews, revises, and distributes documents and correspondence. Assist with orders and maintaining supply inventory. Handles P-Card purchases, monitors expenses. Performs other related duties as assigned.
Other Specifications
Requires detailed knowledge of university infrastructure, policies and procedures. Ability to handle large volumes of data entry/analysis with speed and accuracy. Work requires the ability to perform work of considerable complexity which involves working independently towards general results, devising new work methods, interpreting policy, or meeting new conditions necessitating a high degree of ingenuity, initiative, and judgment. Must be able to work collaboratively with coworkers and provide a high level of customer service at all times. May devote from 25% to 50% of time to routine contacts by telephone with employees of other work units in obtaining or supplying information relating to work. Must have the ability to solve operational problems and make suggestions for process improvement. Must have detailed knowledge of programmatic accreditation and reporting requirements to provide assistance to the Chair.
