HireFrontier is seeking a detail-driven Administrative Coordinator to support daily operations for an Information Science team. You'll keep administrative processes running smoothly for technical and business staff in a fast-paced, tech-driven environment.
Support managers, technical teams, and staff administratively
Manage calendars for meetings, training, and project activities via Outlook
Prepare, proofread, and distribute reports, technical docs, and agendas
Maintain organized digital and physical filing systems
Handle data entry, database updates, and records management
Coordinate meetings, prep materials, and track action items
Monitor project deadlines and communicate updates
Support procurement: purchase requests, supplies, vendor coordination
Field calls and emails, routing to the right department
Assist with travel, expenses, and onboarding paperwork
Executive calendar management
Meeting/conference coordination
Email management
Document prep and formatting
Records/database management
Data entry and reporting
Project coordination
Office operations support
Maintaining confidential technical records
Organizing digital files
Monitoring supplies
Supporting internal communications
Assisting with onboarding

1+ year as an administrative assistant or office coordinator
Experience in information science, tech, research, engineering, or healthcare IT a plus
Advanced Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams)
Experience with document management/collaboration platforms an advantage
Strong organization and time management
Excellent written/verbal communication
Comfortable with technical and cross-functional teams
Discreet with confidential/proprietary information
Associate's or Bachelor's in Business, Info Science, or related field preferred
