Position Overview
Our client is seeking a professional, organized, and community focused Administrative Assistant to support daily office operations, membership administration, event coordination, and communications. The ideal candidate is personable, dependable, technology savvy, and comfortable working with a diverse group of professionals, members, community partners, and internal stakeholders. This position offers an opportunity to play an important role in supporting the organization’s members, programs, events, and overall operations.
The successful candidate will:
• Provide professional, friendly, and responsive assistance while delivering excellent customer service
• Be comfortable with technology and demonstrate a strong willingness to learn and utilize CRM software, Constant Contact, Canva, social media platforms, and other technology tools
• Be proficient in Microsoft Office Suite
• Enjoy working with people and demonstrate strong communication and interpersonal skills
• Bring enthusiasm, professionalism, and a positive attitude to interactions with members, colleagues, and community partners
• Possess strong relationship building and team collaboration skills
• Demonstrate a genuine interest in supporting the local business community and building trusted professional relationships
• Be highly organized, dependable, resourceful, flexible, and effective at managing multiple priorities
• Demonstrate strong time management skills and the ability to maintain an organized and professional office environment
• Work effectively with individuals from a variety of backgrounds and personalities in a respectful and timely manner
• Remain composed and productive while working under pressure and managing deadlines
• Be available to occasionally participate in events and programs that occur outside of normal office hours

Membership Administration
• Manage and maintain the membership database, including accurate records, billing, and payment processing
• Manage monthly electronic membership renewal invoicing
• Prepare and distribute membership renewal packages through traditional mail
• Record, track, and maintain accurate membership information and documentation
Event Coordination
• Take the lead in scheduling, invitations, and logistics for Ribbon Cutting Ceremonies
• Assist with the coordination of signature events, networking events, golf fundraisers, committee meetings, and other programs
• Assist with event planning, coordination, and execution, including member registration, payments, name tags, setup, teardown, and general event support
• Assist with scheduling, preparation, and coordination of committee meetings
• Take meeting notes and assist with tracking and following up on assigned action items
Office Administration
• Maintain office supplies and coordinate general office maintenance needs
• Support the day to day administrative functions of the organization
• Assist with maintaining an organized, professional, and efficient office environment
• Perform other duties and responsibilities as assigned by the President and CEO
Communications and Marketing
• Assist with creating and writing content for social media
• Support member and community communications as needed
• Assist with communications related to events, programs, membership activities, and organizational initiatives
