Job Summary: The Administrative Coordinator - Manufacturing Engineering supports Manufacturing Engineering (ME) operations by managing administrative processes, data coordination, and documentation activities that enable efficient and aligned operations and support day-to-day engineering activities. This role serves as a liaison between engineering, production, and support functions, ensuring accurate data management, effective communication, and timely execution of administrative tasks. The position contributes to operational effectiveness through data tracking, reporting, and support of procurement and budget activities. The Coordinator also supports continuous improvement initiatives by organizing and analyzing operational data to enhance transparency and decision-making. This role operates with a high degree of independence in a fast-paced manufacturing environment, delivering timely, accurate, and high-quality support to cross-functional stakeholders. Essential Duties: Functional Operations: Support Manufacturing Engineering operations through daily administrative activities, including timekeeping, purchase request processing, and report preparation Maintain and organize engineering documentation, records, and data files Manage and update operational data, including equipment performance, maintenance records, and spare parts inventory Collect and track equipment performance data, including uptime, downtime, and maintenance history Support inventory tracking and assist with physical inventory counts as needed Assist with CAPEX/OPEX tracking and procurement status management Coordinate materials, supplies, and equipment required for engineering testing and validation activities Support receiving and intake processes, including deliveries, documentation, and site coordination Provide general administrative support, including office supply coordination and basic documentation needs Performance Optimization & Continuous Improvement: Analyze and report trends related to equipment performance, maintenance activities, and purchasing or inventory data Track and support visualization of key performance indicators (KPIs), including equipment downtime and maintenance activity Assist with continuous improvement initiatives by preparing and organizing data for analysis and decision-making Training & Team Support: Support onboarding and administrative setup for new team members Assist with internal communications and information sharing across the team Support preparation of reports, presentations, and documentation for engineering activities Provide general guidance and support to team members, as needed Cross-Functional Collaboration & Communication: Coordinate with cross-functional teams, including production, quality, maintenance, and procurement, to support operational alignment Support approval workflows and documentation processes (e.g., Requests for Approval - RFA) Coordinate meetings, including scheduling, agenda preparation, and documentation of meeting minutes Assist in organizing and communicating information to support timely issue resolution Support communication and coordination with global teams, including Japan-based stakeholders Quality, Safety, & Compliance: Maintain proper documentation control in accordance with quality and regulatory standards Collect, prepare, and maintain departmental data, reports, and records Ensure compliance with internal procedures, industry regulations, and customer requirements Support adherence to safety requirements, including use of PPE in designated manufacturing or cleanroom environments Personal Protective Equipment (PPE) Requirements: To ensure health and safety in the workplace and for employee protection, wearing PPE is required and includes equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, and a full hazmat suit that includes a respirator. Qualifications Requirements - Required and/or Preferred Education Required: High school diploma or GED Preferred: Associate's or Bachelor's degree in a related field such as business, engineering technology, or operations Relevant professional certifications such as Microsoft Office Specialist (Excel), Certified Administrative Professional (CAP), or Lean Six Sigma (Yellow or Green Belt) Essential Qualifications: 2+ years of administration, coordination, or related experience in a manufacturing, engineering, or similar environment Strong proficiency in Excel, including data management, formulas, and basic data analysis and visualization High attention to detail with strong organizational and data management skills Ability to collect, consolidate, and manage equipment performance, maintenance, and inventory-related data Basic understanding of maintenance, equipment, procurement, or material control processes Ability to manage multiple tasks and work across multiple systems in a fast-paced environment Strong communication and coordination skills with the ability to work effectively across teams Proficient in Microsoft Office applications (Excel, Word, PowerPoint, Outlook) Ability to adapt in a fast-paced manufacturing and engineering environment with changing priorities Ability to work independently with minimal supervision while managing multiple priorities Must have working-level knowledge of the English language, including reading, writing, and speaking English Alignment to Panasonic's seven (7) core principles (contribution to society, fairness and honesty, cooperation and team spirit, untiring effort for improvement, courtesy and humility, adaptability, gratitude) Preferred Qualifications: 4+ years of administrative or coordination experience in a manufacturing or engineering environment Experience supporting Manufacturing Engineering, maintenance, or production-related operations Experience with data analysis, reporting, or KPI tracking Experience supporting cross-functional or project-based activities Experience in high-volume battery manufacturing or a related industrial environment such as electronics, automotive, or energy storage Personal Protective Equipment (PPE) Requirements: To ensure health and safety in the workplace and for employee protection, wearing PPE is required and includes equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, and a full hazmat suit that includes a respirator.
