Administrative Coordinator

Children, Youth, & Family Services

Annual Salary Range: $59,280 - $88,878.40

Job Summary: The Administrative Coordinator is essential in developing, delivering, and supporting training initiatives for staff and contributes to program quality through training as well as collaboration. This position plays a key role in supporting families enrolled and awaiting services through children's disability programs. This position ensures families have access to critical benefits such as Medicaid and serves as a central point of contact between families, DHS, internal teams, and external agencies.

The ideal candidate is passionate about mentoring others, presenting information, and helping colleagues build confidence and proficiency in their work.

Job Duties:

• Manage training programs and creating materials for training. Maintain training records by tracking training, participation, completions, certifications. Ensure the training supports program objectives and performance targets including standards set by MetaStar for CLTS, CCOP and Birth to 3. Ensure all staff are in compliance with regulatory and certification requirements. Stay current with state and federal regulations. Ensure training reflects up to date requirements.
• Assess training needs to develop and deliver training for Children's Disabilities Programs while collaborating with cross-functional teams such as quality assurance and Workforce training and development to identify gaps as well as improve program quality. Provide ongoing or as needed ongoing education, certifications and skill building.
• Serve as the point of contact between DHS, MILES, familied and SSCs. Maintain knowledge of Medicaid to assist families and SSCs in navigating processes, applications, renewals, and ongoing eligibility requirements. Review, track, and process Medicaid-related paperwork to ensure accuracy, completeness, and timely submission.
• Collaborate with internal/external agencies and stakeholders to address concerns, provide updates, and ensure compliance with Medicaid and program requirements. Act as a Liaison for families and SSCs to provide a resolution for Medicaid or other related benefits.
• Stay up to date on Medicaid rules, regulations and policy changes. Ensure all Medicaid processes meet state and federal compliance requirements, assist with reporting and quality assurance activities. Identify and resolve discrepancies, denials, or delays in coverage.
• Perform all other duties as assigned.

Minimum Qualifications:

• Current resident of the State of Wisconsin.
• Current Wisconsin Drivers License and access to a reliable insured vehicle; both maintained throughout employment.
• Travel 15% of work time.
• A Bachelor's Degree or higher from an accredited college or university, preferably in the field of Human Services or in a closely related field.
• At least three (3) years of experience working in social work, sociology, or closely related field.
• Intermediate computer skills, including experience using Microsoft Office software such as Word and Excel

Preferred Qualifications:

• At least two (2) years developing, delivering, and facilitating training.

Knowledge, Skills, and Abilities: Knowledge of social work principles and practices, youth, and family development, and family system theory; knowledge of Medicaid policies and procedures; knowledge of case management techniques, community resources, and services available; skilled in the use of computers; ability; ability to organize tasks in an efficient manner, follow established policies and procedures, communicate effectively both orally and written form; ability to follow both verbal and written instructions, work both independently and within a team to accomplish immediate tasks, work effectively with both with internal and external consumers.
