Oxford Solutions is working with a client seeking an Administrative Assistant Coordinator to support a technology-focused programs team in the Pittsburgh, PA area. This is a contract-to-hire opportunity offering a hybrid schedule.
The position requires at least one day per week onsite, with flexibility to work additional onsite days as meetings, events, or business needs require.
This role is well suited for an organized administrative professional who has experience supporting projects, programs, or technical teams. You will help coordinate meetings, maintain project documentation, prepare reports and presentations, and keep day-to-day program activities organized.
Responsibilities
Coordinate project and team meetings, including scheduling, agendas, notes, and follow-up items
Maintain project files, schedules, documentation, and administrative records
Gather project updates and assist with recurring reports and program metrics
Prepare and format PowerPoint presentations, reports, and other materials
Track administrative deadlines, action items, and project deliverables
Assist with invoices, travel arrangements, expenses, and general program administration
Coordinate logistics for meetings, visitors, workshops, and events
Maintain department templates, procedures, distribution lists, and shared files
Provide general administrative support to project managers and program leadership
Qualifications
Associate's or Bachelor's degree in Business Administration, Communications, Project Management, or a related field preferred
3+ years of administrative, project coordination, program support, or operations experience
Experience supporting engineering, technology, manufacturing, research, or other project-driven organizations preferred
Strong Microsoft Office skills, particularly Outlook, Excel, PowerPoint, and Word
Experience with Microsoft Teams
Salesforce or similar CRM experience is a plus
Experience maintaining project documentation, reports, and presentations
Strong organizational skills with the ability to manage multiple priorities and deadlines
Professional written and verbal communication skills
Strong attention to detail and ability to work with confidential information
Experience supporting nonprofit or government-funded programs is a plus

Hybrid position based in the Pittsburgh area. Candidates must be available to work onsite at least one day per week and additional onsite days when needed.
