Department Overview:

The Hemostasis and Thrombosis Center at OHSU is a federally qualified HTC and home to over 45 faculty and staff, engaged in the clinical, research, public health, outreach and education missions. The HTC is a multidisciplinary center, providing comprehensive care to adult, adolescent and pediatric patients across Oregon and SW Washington.

Function/Duties of Position:

The Administrative Coordinator is a hybrid position that plays a vital role in coordinating and implementing the day-to-day managed care operations for The HTC Pharmacy. The Administrative Coordinator primarily works independently and serves as a communication link among pharmacy staff, clinic staff, clients, third-party payors, external retail pharmacies, and medication manufacturers. This position is responsible for maintaining high level of client satisfaction by providing quick turnaround in factor infusion and antifibrinolytic medication authorization requests and ensuring financial stability through interactions with internal stakeholders, third-party payors, and manufacturers. Must use independent judgement in performing a variety of administrative and technical functions while maintaining high customer service standards.

 

Coordination - Coordinates and implements the entire administrative managed care process for all external HTC non-340B prescriptions; initiates and tracks insurance authorization request letters that include complex medical terminology; develops and maintains policy and procedure manuals; acts as primary backup for all 340B HTC prescriptions; understands and is able to explain technical rules and policy regarding 340B and insurance navigation; participates in multidisciplinary huddles.

 

Administrative Assignments – Completes benefit and eligibility verifications; completes routine and urgent prior-authorization requests; appeals denied authorization requests; maintains monthly expiring authorization reports and proactively initiates requests; understands and is able to explain copay assistance policies and procedures, and assists eligible clients with program application submission; develops detailed monthly reports to analyze utilization; manages EPIC Inbasket pool, Outlook shared inbox messages, and incoming faxes. Provides back-up support for HTC Pharmacy administrative duties such as daily shipment tracking, manufacturer copay and patient assistance enrollment and tracking, HTC Pharmacy 340B managed care, Oracle invoice tracking and submission. Other duties as assigned.

Required Qualifications:

Four years of general office or secretarial experience; OR An Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR A Bachelor’s degree and two years of general office or secretarial experience; OR An equivalent combination of training and experience.

 

Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience. Contact Compensation for confirmation of eligibility.

 

  • Three+ years experience obtaining managed care authorizations for specialty medications on both the medical benefit and pharmacy benefit
  • Five+ years experience completing insurance benefit and eligibility verification in medical setting
  • Experience obtaining managed care authorizations for specialty medical services
  • Intermediate Microsoft Suite skills
  • Excellent communication, organizational, and time management skills with a focus on customer service
  • Strong attention to detail
  • Ability to work autonomously
  • Demonstrated advanced understanding of managed care
  • Demonstrated knowledge of managed care intricacies including appropriate timelines, paperwork, regulations, communication and follow-up
  • Knowledge of third party guidelines, State Medicaid agency guidelines, ICD 10 diagnostic coding, procedural coding, and medical billing terminology
Preferred Qualifications:
  • Experience working in EPIC hyperspace
  • Experience with 340B program operations and compliance
  • Knowledge of CareTend pharmacy software
  • Pharmacy Technician Certification OR CMA
