Tax Collator Job Description
Reid Accountants + Advisors is an independent, full-service accounting and advisory firm specializing in accounting and consulting services for businesses and individuals. We are seeking a highly detail-oriented and adaptable Tax Collator to join our team. This individual will be responsible for assembling, reviewing, and finalizing tax return packages, supporting tax processing workflows, coordinating billing, and providing administrative support as directed by management.
Key Responsibilities
- Assemble and collate completed tax returns, including federal, state, and local filings
- Organize supporting documentation (e.g., K-1s, W-2s, 1099s, financial statements) in accordance with firm standards
- Prepare tax return packages for client delivery (paper and/or electronic via portals such as SafeSend)
- Review deliverables for completeness, accuracy, and proper formatting prior to finalization
- Assist with e-filing processes, including uploading returns and monitoring submission status
- Coordinate signature requests and track receipt of signed documents
- Maintain and update document management systems (e.g., CCH Document, GoFileRoom)
- Communicate with tax team members regarding missing information or corrections
- Support extension processing and deadline tracking during busy seasons
- Assist with administrative tax processes, including scanning, filing, and data organization
- Ensure all work complies with firm procedures, quality standards, and confidentiality requirements
Qualifications
- High school diploma required; Associate's or Bachelor's degree preferred
- 1–3 years of administrative or office experience (public accounting experience preferred)
- Familiarity with tax documents and basic tax terminology is a plus
- Experience with document management systems or tax software (e.g., CCH, SafeSend) preferred
- Strong attention to detail and organizational skills
- Ability to manage multiple deadlines in a fast-paced environment
- Proficiency in Microsoft Office (especially Outlook and Excel)

This position operates as part of a US East Coast-based team, with typical working hours aligning with EST to facilitate effective collaboration.
