Job Description
The office coordinator provides administrative, operational and compliance support to the office manager in a fast-paced, multitask, and close-quartered office environment. The duties include phone coverage, dispatch backup, tank inventory tracking, DOT-related compliance items, and inventory management. Because this industry is ever-evolving, it requires a dedicated professional who is flexible, highly dependable, and can be counted upon to consistently show up on time for work. The ideal candidate for this role is someone eager to learn, thrives at being a key team member, is proactive by nature, and is ready, able, and willing to take on any assigned task. The selected office coordinator should be expected to go above and beyond in support the office manager and dispatcher in order to ensure efficient operations of the overall company.
Requirements:
- Highly proficient in Microsoft 365, especially Word, Excel, and Outlook.
- Excellent communication skills, both verbal and written.
- Proven dispatch experience is ideal – or willingness to be trained as a backup dispatcher.
- Knowledge of DOT hiring and compliance practices is a plus (willing to train the right person).
- Comfortable with hands-on tasks, including basic inventory handling and occasional dirty work.
- Ability to learn new software, including dispatch, routing, or fuel-tracking systems.
- Must have a reliable source of transportation and be able to work the required schedule.
- Strong work ethic with a commitment to supporting daily operations without frequent unscheduled absences.
- Ability to remain calm under pressure and contribute to a productive, respectful workplace.
