Summary:

The Administrative Office Manager serves as the central administrative point of contact for AFCJIC, providing onsite support and oversight of daily office operations. This role ensures efficient execution of administrative programs, task management, personnel onboarding, scheduling, and information management. The Administrative Office Manager supports senior leadership by coordinating meetings, maintaining digital collaboration platforms, managing government-furnished equipment and supplies, and ensuring administrative processes, documentation, and standard operating procedures remain compliant, current, and effective.

Responsibilities:

Essential Job Functions:

  • Serve as the administrative focal point for AFCJIC and onsite daily
  • Manage AFCJIC programs including but not limited to the equipment account, the security program and others
  • Manage organization calendars and email boxes
  • Utilize the Task Management Tool (TMT) to receive, delegate, and monitor organizational tasks, ensuring timely completion and accountability across all departments
  • Facilitate the onboarding of new personnel by processing System Authorization Access Requests (SAAR) and other required forms to grant access to essential government databases. Monitor and support personnel training compliance by utilizing the Joint Knowledge Online (JKO) system to track progress and issue reminders
  • Manage and maintain the organization's digital platforms, including updating content on MS Teams channels and ensuring the AFCJIC SharePoint site is current with all necessary documentation, reports, and internal procedures
  • Coordinate and manage complex schedules for senior staff, deconflict appointments, and maintain the master conference room calendar to ensure seamless meeting execution
  • Organize and support all logistical aspects of meetings and events, including room and audiovisual equipment setup, draft and describe agenda and meeting minutes, and the arrangement of official employee recognition and team-building activities
  • Coordinate and attend official AFCJIC meetings, draft and distribute meeting agendas and minutes
  • Oversee the entire lifecycle of office supplies, from conducting inventory and managing a "wish list" to compiling purchase requests and coordinating with procurement personnel to ensure uninterrupted workflow
  • Handle all aspects of government-furnished equipment, including maintaining a detailed inventory, tracking via hand receipts, and coordinating with the IT department for maintenance, upgrades, and secure disposal
  • Maintain and update the unit's Project Task Planner, summarizing daily work activities and compiling project status updates for weekly and quarterly leadership reviews
  • Assist in preparing a variety of official documents, including presentations, reports, and formal correspondence, while maintaining robust electronic and physical filing systems
  • Annually review and provide updates to the Administrative Standard Operating Procedures (SOP) to identify areas for improvement, enhance efficiency, and ensure compliance with current regulations
  • Assist AFCJIC leadership as required on oversight/performance of administrative functions as assigned, to include but not limited to draft awards, coordinating personnel and team recognition events, etc.
Qualifications:

Necessary Skills and Knowledge:

  • Proficiency with Microsoft 365 tools, including Outlook, Teams, SharePoint, and PowerPoint
  • Ability to manage government-furnished equipment, inventories, and procurement coordination
  • Strong organizational, communication, and documentation skills with high attention to detail

Minimum Qualifications:

  • Minimum 3 years’ experience conducting administrative support functions
  • Must have a Secret clearance

Preferred Qualifications:

  • Bachelor’s degree in a related field
