Job Summary: This role supports a large medical group practice with comprehensive administrative and surgical scheduling responsibilities. The coordinator ensures seamless patient flow through pre- and post-operative processes while managing physician referrals, insurance verification, and coordination with multiple departments including billing, credentialing, and workers compensation.

Key Responsibilities:
  • Perform all functions related to surgery scheduling including verifying insurance, scheduling of patients pre & post-operative appointments, obtaining health clearances, surgery authorizations, and scheduling surgical assistants; ensure that all pre-operative studies are scheduled and completed prior to surgery
  • Manage physician referral work queues by completing referrals in Epic corresponding to PPC tasks
  • Provide customer service actions such as scheduling appointments, triaging calls by directing to appropriate individuals or departments, responding to patient questions and complaints, referring patient complaints appropriately to supervisor
  • Manage physician practice in coordination with medical assistants and other appropriate staff; troubleshoot patient/physician issues and take appropriate action for resolution
  • Handle administrative functions including physician correspondence, forms and request for authorizations, Cedars-Sinai med-legal patients, expense reports, calendar and other transcription needs when needed; work with workers compensation adjusters, nurse case managers, submit WC request for authorizations, and follow up to obtain statuses and receipt of documentation
  • Complete credentialing when necessary at all physician facilities, ensure CVs are updated and medical staff privileges are current (CA license & DEA)
  • Monitor work flow, assist in work assignments, recommend areas for improvement, interface/liaise with other departments, assist in meeting/auditing
  • Coordinate MD mentoring opportunities with fellows, students, etc
  • Work with the billing and HIS departments to provide information for requested chart audits; ensure that appropriate surgical reports, and daily clinic charges are sent to the billing department without delay for optimal reimbursement; work closely with billing department to facilitate financial arrangements for individual patients
  • Act as a liaison between physician and patients in communicating surgery concerns; provide surgical scheduling information, resource coordination, and support to patients before, during and after surgery procedure(s)
  • Provide health education materials including forms, videos, articles to inform target population of health topic as directed by physician; develop with the physician, materials for patients pre- and post- surgery and correspondences in between
  • Provide support to physician with outside services, including profession/collegiate teams, teaching and speaking engagements; manage and coordinate logistics of care for VIPs and patients with special needs
Education Requirements:
  • High school diploma or GED required
  • Bachelor's degree strongly preferred
Required Experience:
  • 3 years of experience with a large medical group practice
  • Surgery scheduling experience in a high-volume setting
  • Experience with Work Comp and WC cycle and protocols
