Mission Statement of the Office of State Fire Marshal: To uphold the law and provide for the protection of life and property from the hazards of fire or explosion, to ensure the safety of our citizens in the constructed environment, to provide equal access to disabled individuals and to promote the efficient use of energy in commercial buildings. This position location is EBR - SFM HQ.

The Administrative Program Specialist B serves as the agency's lead administrator for complex public records requests, subpoena responses, and records management operations. Independently oversees record retention and preservation programs to ensure compliance with legal, regulatory, and agency requirements.

An ideal candidate should possess the following competencies:

Minimum Qualifications

Four years of experience in administrative services; OR

Six years of full-time work experience in any field plus one year of experience in administrative services; OR

A bachelors degree plus one year of experience in administrative services; OR

An advanced degree.

EXPERIENCE SUBSTITUTION:

Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

Job Duties and Other Information

Job Duties:

As an Administrative Program Specialist, you will provide critical administrative and programmatic support by coordinating operations, analyzing processes, and ensuring compliance with organizational policies and procedures. In this role, you will:

  • Administers the agency's public records request program, including intake, review, coordination, and response preparation.
  • Independently manages complex subpoena responses in compliance with legal and regulatory requirements.
  • Oversees agency-wide records management operations and retention practices.
  • Develops, implements, and monitors record retention and preservation procedures and policies.
  • Ensures compliance with applicable public records laws, retention schedules, and agency standards.
  • Coordinates with internal staff, legal counsel, and external stakeholders regarding records requests and preservation matters.

Compensation: The salary offered will be determined based on qualifications and experience.
