Administrative Program Specialist B
The Coastal Protection and Restoration Authority (CPRA) is seeking a motivated Administrative Program Specialist B in the Lafayette Regional Office (LRO), Operations Division. This position supports all administrative tasks and programs in the LRO.
An ideal candidate will possess the following core competencies:
- Accepting Direction: The ability to be open and willing to follow guidance or instructions.
- Following Policies and Procedures: The ability to follow, reinforce, adapt, or develop policies and procedures to maintain compliance with federal and state legal requirements, State Civil Service rules, and organizational policies.
- Making Accurate Judgments: The ability to assess options, weigh risks, and make sound decisions using available information and logical reasoning.
Minimum Qualifications:
- Four years of experience in administrative services; OR
- Six years of full-time work experience in any field plus one year of experience in administrative services; OR
- A bachelor's degree plus one year of experience in administrative services; OR
- An advanced degree.
Experience substitution: Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.
Job Duties:
- Serves as the first point of contact for the Lafayette Regional Office (LRO)
- Corresponds with stakeholders via phone, email, and in-person visitors
- Maintains meeting room calendars
- Reports network or computer access related issues.
- Coordinates with building administrator relative to maintenance issues to resolve problems and restore services.
- Drafts and prepares letters, memos, and travel requests
- Obtains all necessary signatures for approval
- Makes hotel, vehicle, and airline reservations when necessary for travel
- Serves as the LRO's point of contact with the agency's Human Resources (HR) section for all routine personnel matters
- Serves as the timekeeper by reviewing and ensuring accuracy of payroll entries for all employees in the LRO
- Coordinates with HR and the appropriate manager/supervisor to prepare and ensure all HR paperwork is accurate
- Provides all new hires with HR paperwork and ensures paperwork is delivered securely and timely to the Baton Rouge office
- Assists with the required quarterly safety meetings
- Responsible for fulfilling all purchasing needs on behalf of the LRO
- Prepares, maintains and submits all necessary paperwork for purchasing
- Coordinates with the agency's Support Services section to determine and order special equipment needs (boats, boat trailers, motors, airboats, etc.)
- Maintains all equipment maintenance agreements for computer needs, telecommunications, rentals and inventory
- Maintains petty cash and prepares office supply requests.
- Hire, train, and supervise student employees
- Maintains electronic files for reference
- Provides backup support to other Regional offices as necessary
