Administrative Program Specialist - Patient Access

Join a dynamic healthcare team in the Pacific Northwest as an Administrative Program Specialist focused on patient access coordination. This role is essential in managing the administrative aspects of patient care within assigned clinical service lines, ensuring a seamless and supportive experience for patients.

Job Summary

As a Program Specialist, you will be the primary contact for patients, assisting with appointment scheduling, providing detailed information about clinical services and insurance procedures, processing referrals, and confirming authorizations. You will collaborate closely with healthcare providers, technicians, clinical support staff, and patient access teams to facilitate efficient and high-quality care delivery.

Key Responsibilities
  • Schedule appointments, consultations, and follow-ups within designated service lines.
  • Coordinate with patient access, management, providers, and clinical staff to optimize scheduling and resource use.
  • Manage durable medical equipment coordination as needed.
  • Communicate appointment details and preparation instructions clearly to patients.
  • Serve as an expert on patient access workflows, addressing inquiries and ensuring effective communication.
  • Maintain accurate and confidential patient records.
  • Coordinate referrals and authorizations, including insurance verifications and pre-certifications.
  • Monitor referral and authorization expirations and proactively manage extensions.
  • Support departmental initiatives, including waitlist management and special projects.
  • Follow up with patients regarding test results, orders, and questions.
  • Adhere to established policies, procedures, and regulatory standards while delivering excellent service.
Education and Experience
  • High school diploma or equivalent required; Associate Degree preferred.
  • Minimum of 2 years' experience in healthcare, preferably in patient access or related administrative functions.
  • Familiarity with medical terminology and insurance processes including verification and authorization.
  • Proficiency with electronic medical records (EMR) systems and office software applications.
Skills and Abilities
  • Strong organizational skills with the ability to prioritize and adapt to changing demands.
  • Excellent written and verbal communication skills tailored to diverse audiences.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle confidential information with discretion and maintain accurate documentation.
  • Demonstrated teamwork, customer service, and interpersonal skills in fast-paced environments.
