JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Program Support 1 provides support for the 3-year MD curriculum program, as well as coordinating ongoing processes for Student Affairs. For coordination of the 3-year curriculum program, this position serves as the primary point of contact for students, faculty, and administrators. For Student Affairs, this position coordinates the learning community program (MPower) and the production of Medical Student Performance Evaluations (MSPE) letters.

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of relevant experience, preferably in higher education; OR Associate's Degree and two (2) years of relevant experience, preferably in higher education; OR Bachelor's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent organization, verbal and written communication skills.
  • Expertise and ability to use Office 365 applications (specifically Excel, Word, PowerPoint, OneDrive, SharePoint) and Zoom.
  • Ability to work independently and easily adapt to frequently changing priorities.
  • Ability to multitask and meet deadlines.
  • Ability to communicate in a professional manner and maintain a high degree of confidentiality.

WORK SCHEDULE: This position may occasionally be required to work weekends and evenings.

  • Oversees and implements learning community program events for M1, M2, M3, and M4 students.
  • Manages the new student learning community events during orientation and end-of-year competition between houses with the trophy award.
  • Manages invoices and procurement cards; develops budget and balances ledgers for the 3-year MD curriculum.
  • Coordinates programs, workshops, and seminars for the learning community, including large group sessions, small-group House sessions, and House activities
  • Serves as liaison to students, faculty, residents and school administration for all issues or questions related to the 3-Year MD Program. Coordinates the 3-year MD curriculum committee and other groups/individuals.
  • Updates MSPE form to match ERAS requirements.
  • Generates charts and graphs based on course grade distribution, GPAs, board exam performance, and national averages for each MSPE.
  • Manages quarterly meetings with faculty house leaders and faculty mentors regarding UT Health Sciences MPOWER to provide faculty with career resources, information, recommendations, and explore barriers to mentoring.
  • Serves as lead administrative associate in the Student Affairs office.
  • Performs other related duties as assigned.
