Work Mode: Hybrid (In office Mondays, Wednesdays, Fridays; Offsite Tuesdays, Thursdays)
Start Date: ASAP
Work Hours: 37.5 hour work week, 9:00am - 5:00pm PST (1/2 hour lunch)
Parking: Parking can cost up to 20.00 per day based on location and is paid at the contingent's expense -Monthly parking pass available for purchase reduces the cost to roughly $9/day. If the worker ends prematurely or in the middle of the month, the remaining days are reimbursable by the transportation department.
Candidates must have flexibility based on Department needs and onsite/remote days are subject to change HOWEVER, candidates MUST adhere to the department schedule.
The department is NOT providing a laptop - Candidate MUST provide their personal laptop when working remote and would bring this in for IT to secure the necessary access.
Responsibilities:
Coordinate and support operational activities related to the Institute for Addiction Science (IAS).
Report to the Chief Programs and Communication Officer (CPCO).
Support the overall operations by optimizing the administrative infrastructure and professional environment at IAS.
Establish, maintain, and carry out major initiatives of IAS.
Execute project work plans and revise as needed to meet changing requirements.
Monitor project statuses, assist with data collection, and prepare documentation.
Manage timelines and promote IAS activities through professional communication.
Support daily operational tasks including booking travel, planning events, ordering supplies, processing invoices, and maintaining a social media presence.
Work closely with CPCO to build and maintain an activity catalog on program-related IAS member activities.
Monitor, track, and support strategies and initiatives carried out by the administrative team.
Draft reports and dissemination materials for the university and community.
Requirements:
Bachelor’s degree, Public Health or related field preferred.
Minimum 2 years of related professional experience.
Experience working in an administrative setting.
Exceptional multi-tasking, organizational, and interpersonal skills.
Self-motivated with excellent attention to detail and time management skills.
Excellent verbal and written communication skills.
Proficiency with Microsoft Office applications.
Preferred Skills:
Previous experience in a university environment.
Knowledge of systems such as WordPress, REDCap, Adobe Creative Suite, or Workday.
Experience providing research support, including CV/biosketch updates, grant writing, and presentation development.
