Who we are and what we do:

The Tennessee Military Department is currently accepting resumes and cover letters for the Administrative Services Assistant (ASA) 5 position. This position reports to the Commander/Base Civil Engineer at the 118th Air Wing in Nashville and serves as the squadron's primary financial and resource manager, translating the commander's priorities into effective budget and funding strategies.

Job Overview:

Overseeing the squadron's budget and financial planning, managing and tracking Civil Engineer (CE) Real Property Sub-projects (CE RPS), and providing financial analysis, accounting, and bookkeeping support to ensure sound fiscal management.

Key Responsibilities:

Budget & Financial Execution:

  • Manages, analyzes, and distributes annual Operation and Maintenance (O&M) and military personnel budgets for the CE squadron.
  • Tracks execution rates against Financial Plans and submits unfunded requirements (UFRs) to the Wing or State headquarters

CE RPS Tracking:

  • Monitors and assists in the tracking of Civil Engineer Real Property Sub-projects (CE RPS).
  • Ensures project expenditures are appropriately categorized, obligated, and executed in accordance with Air National Guard and major command (MAJCOM) directives.

Accounting & Analysis:

  • Utilizes financial systems like General Finance and Accounting System (GFAS) and Defense Enterprise Accounting and Management System (DEAMS) to audit transactions, reconcile discrepancies, and project future costs.

Liaison & Advisory:

  • Acts as the principal advisor to the CE Commander and flight chiefs regarding fiscal constraints, resource availability, and economic feasibility of proposed projects.
  • Serves as the key liaison between the unit and the Base Financial Management (FM) and Contracting offices.

Documentation & Reporting:

  • Prepares routine financial status briefings, tracks key metrics, and ensures strict adherence to DoD financial management regulations and fiscal laws.

Minimum Qualifications:

  • Training: Must complete the Air Force Resource Advisor Course (AFRAC) and be well-versed in Air National Guard financial instructions.
  • Security Clearance: Requires at least a SECRET security clearance to access DoD financial and property databases.
  • Preferred: Bachelor's degree and two years of experience in financial management
