West Sound Workforce is supporting a local nonprofit utility district in sourcing a temporary Administrative Services Coordinator to provide advanced administrative and operational support from their Port Hadlock offices. With a mission centered on serving the community through safe, reliable service and strong leadership, this organization values collaboration, transparency, and solutions-driven support that helps keep essential services running effectively.
Reporting to the Executive Services Manager, this role serves as a key resource for internal teams, vendors, and external partners by coordinating information, processes, and administrative activities while supporting compliance with public sector policies and regulatory requirements. The ideal candidate will bring strong organizational skills, professionalism, and discretion when handling confidential information.

Shift information:
  • Full time, Monday – Friday
  • Onsite
What you will do:
  • Provide administrative coordination and project support to executive leadership and department teams, including tracking action items, deadlines, deliverables, and organizational priorities
  • Coordinate meetings, agendas, presentations, reports, correspondence, and other materials while ensuring accuracy, professionalism, and timely communication
  • Support procurement activities, invoice processing, contract coordination, vendor communication, and administrative operations Maintain organized electronic and paper records in accordance with public sector records retention requirements and assist with research, reporting, and data tracking activities
  • Support district events, trainings, public outreach activities, and daily administrative needs while responding to internal and external inquiries with professionalism and discretion
What we are looking for:
  • High school diploma or equivalent required; associate degree or higher in business, public administration, or a related field preferred
  • Three to five years of progressively responsible administrative experience supporting leadership, departments, or organizational operations
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and experience managing electronic records and documentation systems
  • Strong organizational skills with the ability to prioritize multiple projects, deadlines, and competing responsibilities while maintaining attention to detail
  • Excellent written and verbal communication skills with the ability to professionally interact with employees, leadership, vendors, and members of the public
  • Experience with purchasing, budgeting, contracts, public records, or regulatory requirements is preferred
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion
