The Dean of Students, Student Life department is seeking 1 Administrative Specialist I to join the already awesome team taking the department to the next level of excellence!

The Administrative Coordinator for Dean of Students, Student Life will work on the Newton campus.

WHAT WILL YOU DO:

The Administrative Coordinator (Newton Campus) will provide support in financial management, task management, student conduct, general office management, and support for the Dean of Students/Student Life office. The ability to multitask in an ever-changing environment while prioritizing the office's needs is essential in this position. The ideal candidate for this job is resourceful, detail-oriented, and a good problem solver. This position reports to the Campus Lead/Director of Student Engagement and supervises

student assistants.

  • Maintains department budgets and related items by preparing and submitting for timely processing - purchase requisitions, budget transfers, and other expenditures; securing documents such as travel forms, attendance logs, receipts, fliers, and agendas as needed for budget expenditures; utilizing the state purchasing card and processing reports; and performing data entry of detailed budget transactions and reconciling logged expenditures against Georgia State University Budget Reports.

  • Provides organizational and clerical assistance, which includes greeting visitors, answering telephones, making room reservations, submitting facility work orders, maintaining service contracts on office equipment, maintaining the office supply inventory, and placing supply requests.

  • Serves as initial customer service agent, ensuring high quality of services, collecting and investigating pertinent facts and complaints, compliments, and challenges; handling complaints within the jurisdiction of the job description and knowledge.

  • Maintain and enter student conduct records in the associated recording system (Maxient). Ensures accurate documentation of all records in the system.

  • Assists with campus events and functions related to Student Life. Assists Director and office personal with special projects. Serves and participates on campus and college-wide committees.

  • Provides support in the area of program development and implementation by reserving rooms; developing advertisements for events, programs, and meetings; purchasing supplies and materials; requesting facility work orders; maintaining service contracts on office equipment; monitoring the office supply inventory; and placing supply requests. Oversees and enforces information board posting policy.

  • Works closely with registered student organizations (RSOs) and their advisors to ensure proper processing of financial paperwork and efficient program implementation.

  • Maintain and enter RSO records in the associated recording system (Panther Involvement Network, PIN) to ensure up-to-date supporting documentation of all SAF funding expenditures.
