Reporting to the Program Manager, the Administrative Specialist provides administrative and contract support to the MARMC Contracts Department by managing data, developing reports, coordinating activities, and supporting procurement operations. Assists with metrics, workload tracking, contract closeout activities, and administrative functions to support mission objectives.
This is a contingent position pending contract award. The position is expected to be located in Norfolk, VA.
What You'll Do:
- Provide administrative and operational support to the MARMC Contracts Department.
- Support contract functions including metrics tracking, budgeting, workload planning, and administrative coordination.
- Create, maintain, and update databases, spreadsheets, and reports to support contract workload management.
- Analyze and validate procurement data to support reporting requirements and management decisions.
- Prepare Small Business Program reports, Contract Action Reports (CARs), and procurement data call responses.
- Research, compile, and maintain contract performance metrics and supporting documentation.
- Assist with contract closeout activities, including voucher reviews, documentation preparation, and final payment verification.
- Support the use of automated contract systems including SPS, ePS, SeaPort-e, WAWF, FPDS-NG, and PIEE.
- Coordinate meetings, training events, agendas, meeting materials, minutes, and required administrative support.
- Maintain records, files, and documentation in accordance with organizational requirements.
- Bid and proposal support if requested.
- Other duties as assigned.
What We're Looking For:
Required Qualifications:
- An active secret clearance is required to be considered for this position.
HS Diploma/GED required.
One (1) year of experience with automated contract systems such as SPS, ePS, SeaPort-e, WAWF, FPDS-NG, or PIEE.
- Experience with Google Workspace required.
- Experience with Microsoft Office 365, SharePoint, and Power BI required.
- Must possess basic computer literacy and data entry skills.
- Demonstrated proficiency in Microsoft Office applications (to include MS Word, Excel, PowerPoint, etc.).
- Strong attention to detail and organizational skills.
- Excellent verbal and written communication skills.
- Demonstrated problem-solving skills.
- Must possess strong time management skills.
- Must be able to work in a fast-paced, changing, and challenging environment.
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.
Physical Requirements:
- Must be able to remain seated in a stationary position 50% of the time. Must also be able to alternate between sitting, standing, and walking.
- The ability to lift items that may weigh up to 50 pounds.
