Job Title: Administrative Support

FLSA Status: Non-exempt

Reports to: Principal

Supervises: n/a

Pay Grade: Tier 2, Administrative Support Hourly Wage Salary Schedule

Term of Employment: 10 months

JOB SUMMARY

Administrative support professionals perform a variety of administrative and clerical tasks to ensure efficient operation of the office. Duties include providing support to staff, students, families and other visitors, assisting in daily office needs and managing the office's general administrative activities.

ESSENTIAL JOB FUNCTIONS

  • Performs clerical/secretarial duties, including handling and preparation of correspondence, maintaining office filing systems, managing accurate and complete records, and processing all necessary district and school-based paperwork and forms.
  • Drafts and proofreads correspondence.
  • Generates reports.
  • Performs varied data entry tasks.
  • Answers telephone calls and routes to appropriate staff.
  • Provides support and assistance to visitors, parents, students and staff.
  • Tracks payroll hours for various staff.
  • Maintains Emergency Operational Plan.
  • Upholds and executes all District safety procedures.
  • Other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

  • General working knowledge of computer usage, including email, Microsoft Office suite, Infinite Campus and Google applications.
  • Ability to operate standard office equipment (calculator, copier, facsimile machine, printer, etc.).
  • Ability and willingness to maintain confidentiality of any information gained within the course of executing position responsibilities.
  • Exemplary customer service skills.
  • Knowledge and professional use of English language.
  • Ability to meet short deadlines with fast turnaround time.
  • Exemplary organizational, record-keeping, and task management skills.
  • Ability to understand and follow oral and written instructions and to work with minimal supervision.
  • Advanced communication skills (listening, speaking, writing and presenting).
  • Self-starter with flexibility to function independently or as a cooperative team member.

PHYSICAL DEMANDS

Must be able to remain in a stationary position for long periods of time; occasionally required to move about inside the office to access file cabinets, office machinery, etc.; consistently and repetitively operates a computer and other office machinery such as calculator, copy machine and/or computer printer; regularly required to communicate and exchange accurate information with administration, staff, and the public. Occasionally be required to lift up to 20 pounds unassisted.
