Job Description:
  • We are seeking a detail-oriented Administrative Assistant to support service sales operations and customer account management.
  • This role serves as a key liaison between customers, service teams, and internal departments by managing quotations, purchase orders, revenue collection activities, customer communications, and administrative processes. The ideal candidate has strong organizational skills, experience supporting business operations, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
  • Provide administrative support to service and sales teams.
  • Maintain strong customer relationships through phone and email communications.
  • Prepare customer quotations and process purchase orders.
  • Track billable revenue and support contract revenue collection activities.
  • Maintain accurate customer information and installed base records within SAP CRM.
  • Coordinate with multiple internal departments to support service sales objectives.
  • Receive and document customer equipment service requests and related issues.
  • Generate reports and provide business updates to management.
  • Ensure compliance with SOX business processes and internal procedures.
  • Maintain accurate service records, documentation, and customer feedback.
  • Support month-end, quarter-end, and year-end business activities.
  • Prioritize multiple assignments while meeting deadlines.
Experience:
  • Minimum 2 years of experience in customer service, sales support, business operations, or administrative support.
  • Experience preparing quotations and processing purchase orders.
  • Experience supporting revenue collection or billing processes.
  • Strong customer service and communication skills.
  • Excellent organizational and time management skills.
  • Ability to work independently in a fast-paced environment.
  • Proficiency with Microsoft Office (Excel, Outlook, Word, PowerPoint).
Skillsets:
  • Experience with SAP CRM or SAP ERP.
  • Experience supporting service operations.
  • Strong mechanical aptitude
Education:
  • Bachelor's degree in Business Administration, Management, or a related field, or equivalent experience.
