Job Description

We are seeking an Administrative Support Professional to serve as an operational partner for the Global Customer Success (GCS) ML SBX team. The ideal candidate will have strong experience in stakeholder coordination, governance and meeting operations, content development, and data visualization, and a proven ability to drive cross-functional follow-ups, maintain complex documentation pipelines, and deliver data-driven visibility into team performance.

Responsibilities:

  • Coordinate stakeholders by proactively following up on global action items to meet milestones and clear dependencies.
  • Plan and manage meetings, including complex multi-time-zone scheduling, agenda and document preparation, and delivery of actionable minutes.
  • Support GCS content and marketing by collecting, drafting, and editing internal communications and newsletters to highlight team achievements.
  • Consolidate departmental data to identify operational trends and maintain dashboards tracking KPIs and team performance.
  • Create data visualizations and summary papers to enable root-cause analysis and informed decision-making.
  • Organize and facilitate small events and specialized meetings to improve information flow and team morale.
  • Perform additional projects as assigned by management.

Required Skills & Qualifications:

  • Data visualization proficiency in Excel (Pivot Tables, VLOOKUP, charting) and/or tools such as Tableau or Power BI to build performance dashboards.
  • Business writing skills for professional newsletters, executive summaries, and meeting minutes.
  • Project tracking experience using Smartsheet, Jira, or Trello to monitor global action items.
  • Advanced O365 skills, including complex calendar management and document version control in SharePoint and Teams.
  • Bachelor's degree required.
  • 5+ years of experience in administrative, operations, or project support roles, with demonstrated operational maturity.

Preferred Skills:

  • Strong communication and meeting facilitation skills with attention to detail.
  • Scheduling and coordination expertise; comfortable with technology and current tools.
  • Background in data analysis.

Additional Position Details

  • Part-time, approximately 20 hours per week based on business needs.
  • Schedule: 8:00 AM to 12:00 PM.
  • Onsite role. Local candidates only.
