Position Summary

The primary purpose of this position is to provide customer service and administrative support for the Department of Pathology and Laboratory Medicine. The primary duties of the Administrative Support Specialist position include: coordinating clinical on boarding, working with credentialing and the hospital units to gain access for non-employee affiliates, maintaining the department website and social media accounts, and supporting the administrative needs of assigned faculty (which includes typing correspondence and generating reports as needed to promote the individual's relevant clinical, research and educational goals and objectives). Other duties of the position include being responsible for managing multiple incoming phone lines to the department and triaging calls as appropriate, greeting walk-ins, and referring/assisting visitors to the administrative office. This position manages the primary conference room calendar, manages department listservs, photocopies checks and invoices, maintains physical and digital directory boards, coordinates office events, manages the office supply inventory, coordinates and manages mail services for all faculty, staff and students, and posts important notices to multiple work locations across campus. This position is the primary operator and trainer for the administrative fax and copier and is responsible for scheduling maintenance as needed. This position is cross-trained to fulfill responsibilities of other administrative staff in the event of their absence.

Minimum Education and Experience Requirements

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Management Preferences

  • Previous experience working in a clinical, research, or academic administrative office.
  • Entry level accounting, bookkeeping, or records management experience.
  • Familiarity with processing vouchers and journal entries in ConnectCarolina.
  • Proficiency with Microsoft Office programs (Word, Excel, Outlook, etc.), including the ability to proof, edit, and format documents in accordance with standardized templates.
  • Excellent oral and written communication skills and problem-solving capabilities.
