Job Description:
The Administrator will serve as a key operational and administrative partner supporting ESnet leadership and staff. This role is responsible for delivering high-level administrative support in a fast-paced, technical environment while exercising independent judgment, professionalism, and strong organizational skills. The position requires managing complex scheduling, travel coordination, meetings, onboarding/offboarding activities, event planning, process documentation, and administrative operations while ensuring compliance with organizational policies and procedures.
Key Responsibilities
Administrative & Operational Support
• Provide comprehensive administrative support to leadership and staff.
• Manage strategic calendaring, scheduling, purchasing, timekeeping, onboarding/offboarding, and access requests.
• Maintain documentation, publications, and administrative process records.
• Independently resolve moderately complex administrative issues using sound judgment and professionalism.
• Support leadership with meeting coordination, presentations, and communication materials.
Travel & Event Coordination
• Coordinate complex domestic and international travel arrangements, itineraries, and logistics.
• Plan and execute workshops, conferences, meetings, and programmatic initiatives.
• Manage event budgets, catering, registrations, audiovisual arrangements, and travel coordination.
Project & Process Management
• Manage moderately scoped projects from research and analysis through completion.
• Track administrative activities using systems such as Google Suite, ServiceNow, Jira, and Confluence.
• Create and improve administrative procedures and process documentation.
• Prepare training materials and communication resources for business processes.
Communication & Collaboration
• Communicate key administrative information clearly and effectively across teams.
• Build and maintain collaborative relationships with administrative staff across divisions.
• Assist with knowledge base updates and administrative reference materials.
• Provide backup administrative support as needed.
Additional Responsibilities
• Facilitate ergonomic support requests and coordinate responses.
• Participate in employee engagement initiatives, volunteer programs, and mentorship opportunities.
• Present organizational updates and administrative information during meetings when required.
Required Qualifications
Education & Experience
• BA/BS degree preferred.
• 0–4 years of related administrative experience supporting leadership teams within a large, complex, technical, or operational environment.
Technical Skills
• Experience with:
o Google Workspace / Google Applications Suite
o ServiceNow
o Slack
o Adobe Acrobat
o Confluence
o Jira
o Zoom
• Comfortable working on Mac and PC platforms.
