Description

The Administrator / Purchaser is responsible for providing administrative, procurement, and logistical support to ensure efficient project execution for utility-scale solar photovoltaic (PV) and battery energy storage system (BESS) EPC projects. This dual-role position combines office administration and purchasing responsibilities to support field operations, site management, and supply chain coordination.

The ideal candidate possesses strong organizational skills, attention to detail, and experience in construction or industrial procurement environments. This position requires the ability to manage documentation, vendor communication, and purchasing processes in alignment with company policies, budget requirements, and project timelines.

Essential Job Functions & Responsibilities:

Procurement & Purchasing

  • Coordinate the purchasing of materials, equipment, and services necessary for project execution, ensuring timely delivery and cost efficiency.
  • Prepare and issue purchase orders in accordance with project budgets, scopes, and company procurement policies.
  • Maintain accurate records of all purchasing activities, including order confirmations, delivery schedules, and vendor communications.
  • Source, evaluate, and negotiate with vendors and subcontractors to ensure best pricing, quality, and delivery performance.
  • Monitor supplier performance, identify potential issues, and assist in resolving delivery or quality discrepancies.
  • Support inventory tracking by coordinating with warehouse and logistics teams to verify material receipts and usage.
  • Work closely with the accounting department to ensure proper invoicing, payment approvals, and cost tracking.

Administrative Support

  • Provide administrative support to site and project management teams, including document control, reporting, and correspondence.
  • Maintain organized records of contracts, procurement documentation, and project files in compliance with company standards.
  • Support scheduling, meeting coordination, and communication between departments and external stakeholders.
  • Assist with preparation of project reports, cost summaries, and procurement status updates.
  • Support onboarding and compliance tracking for site personnel and subcontractors as required.
  • Manage office supplies, equipment, and administrative resources for the project site or regional office.

Coordination & Compliance

  • Ensure all procurement and administrative processes adhere to company standards, safety policies, and regulatory requirements.
  • Collaborate with project management, engineering, logistics, and finance teams to align purchasing and administrative activities with overall project objectives.
  • Support internal audits and documentation reviews as needed.

Employment Terms

  • Local hire position; candidates must reside within reasonable commuting distance of the worksite.
  • No relocation assistance provided.
  • Project-based assignment.
  • Employment is expected to continue through project completion, at which time the position will conclude unless other opportunities are available.


Requirements

We are looking for candidates who bring:

  • Associate or Bachelor’s degree in Business Administration, Supply Chain Management, Construction Management, or a related field preferred.
  • 3+ years of experience in procurement, purchasing, or administrative support—preferably within EPC, construction, or renewable energy industries.
  • Strong understanding of purchasing processes, vendor management, and inventory coordination.
  • Excellent organizational, communication, and multitasking skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with ERP or procurement systems (e.g., SAP, Oracle, Procore, or similar).
  • Strong attention to detail and ability to work effectively in a fast-paced project environment.
  • Demonstrated ability to work both independently and collaboratively with cross-functional teams.
  • Familiarity with basic accounting and cost control principles preferred.

 

Environmental Conditions:

  • General work environment - sitting, standing, walking, typing, carrying, pushing, bending. Work is conducted in both indoor office settings and outdoor construction job site settings. Environmental conditions will vary.
  • Noise level varies based on location
  • Exposure to outside elements can include:
    • Hot or cold weather
    • Humidity, rain, or other weather conditions
    • Loud noises caused by tools, machinery, equipment, etc.
    • Potential exposure to chemical substances

Mobility Barriers:

  • Uneven ground

  • Work performed at low and/or high levels of elevations
  • Work performed in confined spaces

 

Requirements and Conditions of Employment

  • Must possess and maintain a valid driver's license and driving record acceptable to company insurance requirements.
  • Must successfully complete any required motor vehicle record (MVR) review, background screening, and employment verification processes, consistent with applicable laws.
  • Must comply with EMC Renewables Drug-Free Workplace Policy and any testing requirements permitted by law.
  • Must be able to meet customer, project site, and regulatory access requirements as applicable to the position.
