Job Description
The Admissions and Liaison Coordinator serves as the primary point of contact between the Academy's Academic, Housing (Residential Life), and Athletic Departments and the families of current and prospective students. This individual manages the full admissions cycle - from first inquiry through enrollment - and then continues as each family's dedicated liaison throughout the student's time at the Academy. Serving a boarding population that includes many international families, the Coordinator ensures that parents and guardians, wherever they are in the world, always have a clear, responsive, and caring channel of communication with the Academy. The ideal candidate is an exceptional communicator, a skilled relationship-builder, and a highly organized professional who thrives at the intersection of admissions, student services, and family engagement.
Key Responsibilities
Admissions & Enrollment
- Serve as the first point of contact for prospective families; respond promptly to inquiries by phone, email, and video conference across multiple time zones.
- Manage the admissions funnel: inquiries, applications, interviews, admissions committee coordination, decisions, and enrollment contracts
- Coordinate and lead campus visits and virtual tours with vendors, families, and prospective partners.
- Guide international families through university's admissions requirements, including academic records evaluation, English proficiency documentation, and I-20/F-1 student visa processes in coordination with the designated school official.
- Maintain accurate records in the admissions database and produce enrollment pipeline reports for the Executive Director.
Family Liaison & Communication
- Act as the central, ongoing liaison between families and the Academic, Housing, and Athletic Departments, ensuring families receive timely, coordinated, and consistent information.
- Coordinate with the Academic Department to communicate student progress, report cards, parent-teacher conferences, and academic support plans to families.
- Coordinate with Residential Life/Housing on room assignments, move-in and move-out logistics, travel and break arrangements, health and wellness updates, and day-to-day boarding life matters.
- Coordinate with the Athletic Department to keep families informed of training schedules, team travel, competitions, and athlete development updates.
- Serve as the family's advocate and problem-solver: intake concerns, route them to the appropriate department, track them to resolution, and close the loop with the family.
Administration & Compliance
- Maintain confidential student and family records in compliance with FERPA and Academy policies
- Support re-enrollment and retention initiatives, tracking family satisfaction and flagging concerns early.
- Perform other duties as assigned in support of the Academy's mission.
Minimum Qualifications
- Bachelor's degree from an accredited institution in education, communications, business, sports management, or a related field.
- Experience in admissions, enrollment management, student services, customer relations, or a comparable family-facing role (boarding school, higher education, or sports academy experience strongly preferred).
- Outstanding written and verbal communication skills and a warm, professional, service oriented demeanor.
- Demonstrated ability to manage multiple priorities, maintain meticulous records, and follow through across departments.
- Proficiency with CRM/student information systems and the Microsoft Office suite.
- Cultural competence and genuine enthusiasm for working with international students and families; flexibility to occasionally communicate outside standard business hours across time zones.
- Ability to work occasional evenings and weekends for admissions events, move-in days, and family weekends
. • Successful completion of a Level 2 background screening as required for positions working with minors in the State of Florida.
Preferred Qualifications
- Master's degree in a related field.
- Fluency in a second language (Spanish, Portuguese, Mandarin, or French especially welcome).
- Experience with F-1 international student processes and SEVIS.
- Familiarity with the culture and pace of competitive youth athletics.
