The Housing Authority of the City of Austin (HACA) is looking for a highly motivated and detail-oriented Admissions Coordinator to manage our Admissions team. The Admissions Coordinator plays a critical role in administering the Housing Choice Voucher (HCV) program, conducting waitlist draws, and ensuring exceptional customer service to clients and stakeholders. HACA has been a leader in affordable housing in the City of Austin for more than 85 years. In partnership with the U.S. Department of Housing and Urban Development, local government entities, and numerous non-profit agencies, HACA provides access to safe, stable housing to over 20,000 individuals.
What you will do in this position:
Team Supervision & Training:
- Directly supervise four (4) Admissions Clerks, ensuring accuracy and timeliness of client correspondence, including eligibility interview invites, missed appointment letters, and denial letters.
- Conduct regular training sessions to enhance customer service skills, streamline tasks, and ensure uniform processes.
- Develop and implement new hire training materials for Admissions Clerks, including onboarding, data entry, telephone support, lobby coverage, and software programs.
Front Desk & Phone Operations:
- Oversee HACA's front lobby and phone lines, ensuring staff coverage, timely responses to calls, correct call transfers, and proper intake and routing of client documents.
HCV Program Administration:
- Communicate with the Vice President of Assisted Housing to manage HCV issuance and monthly quotas.
- Conduct waitlist draws and invite eligible HCV applicants for interviews as needed.
- Assist with HCV eligibility interviews, addressing staff and applicant questions, and providing coverage for absent staff.
PBRA and Choice Mobility Requests:
- Process all PBRA transfer requests and Add-On Requests, review resident history and eligibility, and send approval or denial letters.
- Manage incoming Choice Mobility applications, place approved residents on the Choice Mobility waiting list, and conduct waitlist draws according to policy.
Public Relations & Client Support:
- Communicate eligibility requirements to the general public, social service agencies, and prospective residents.
- Provide referrals to social service or government agencies to assist families in navigating the admissions process.
Administrative Oversight:
- Monitor the department email account, direct inquiries to appropriate parties, and respond to client questions as needed.
- Ensure accurate documentation, reporting, and compliance with policies and procedures for PBRA, LIHTC, and HCV programs.
- Perform additional duties as assigned to support the successful functioning of the Admissions Department.

Qualified candidates must possess:
- Bachelor's degree from a four-year college or university; OR
- Two years related experience and/or training; OR
- Equivalent combination of education and experience.
Preferred candidates will also possess the following skills and abilities:
- Ability to provide compassionate and professional customer service to clientele of diverse backgrounds
- Strong computer skills (Google Suite, Microsoft Office Suite, Adobe Acrobat, DocuSign, Emphasys ELITE, and Laserfiche)
- Excellent oral and written communication skills
- Ability to establish, cultivate, and maintain effective working relationships with external partners, clients, and coworkers
- Knowledge of general office practices and procedures, business English and basic arithmetic
- Knowledge of standard bookkeeping principles, practices, and techniques
- Knowledge of HUD and Housing Authority policies and practices pertaining to the PBRA and HCV programs, regulatory compliance, the affordable housing industry.
- Spanish language proficiency
