Admissions Coordinator

The Admissions Coordinator is responsible for supporting and coordinating key operational functions within the admissions process to ensure a smooth, efficient, and welcoming experience for prospective clients and families. This role manages assessment scheduling, admission preparation, authorization and documentation tracking, admissions logistics, and data integrity across systems such as Salesforce and the electronic health record (EHR). The Admissions Coordinator works closely with admissions counselors, clinical staff, utilization management, financial counseling, and operational teams to facilitate timely admissions and optimize workflow efficiency.
Key Responsibilities
  • Maintains and manages a centralized assessment schedule across admissions counselors to ensure balanced utilization and efficient appointment distribution.
  • Coordinates scheduling of assessments, including confirming availability, sending reminders, and ensuring all required information is collected in advance.
  • Monitors cancellations and no-shows and supports timely outreach and rescheduling efforts.
  • Creates client portals for scheduled patients and uploads pre-assessment questionnaires and required documentation.
  • Tracks prospective clients throughout the admissions pipeline from inquiry through assessment and identifies delays or barriers to progression.
  • Prepares for upcoming admissions by ensuring all required materials, documentation, and logistics are completed, including binders, forms, room assignments, patient materials, and access bracelets.
  • Contacts incoming clients and families prior to admission to review expectations, confirm logistics, and encourage completion of required forms and portal items.
  • Reviews insurance authorization status and coordinates follow-up to help prevent admission delays.
  • Maintains and tracks admission readiness checklists to ensure all pre-admission tasks are completed accurately and on time.
  • Assists with development and entry of initial patient group schedules into the electronic health record.
  • Coordinates meals and other logistical needs during admission day activities.
  • Monitors completion of key clinical documentation required for authorization processes, including psychosocial assessments and supporting documentation.
  • Assists with maintaining accurate authorization tracking systems and related records.
  • Identifies and escalates delays, workflow issues, or bottlenecks within the admissions process.
  • Supports reporting related to admissions volume, scheduling utilization, conversion metrics, and operational performance.
  • Maintains accurate and complete data entry within systems including Salesforce and the EHR.
  • Maintains organization of admissions materials, forms, supplies, and operational resources.
  • Assists with front desk coverage and intake support as needed.
  • Demonstrates professionalism, compassion, and excellent customer service in interactions with prospective clients, families, referral sources, and staff.

Education and Experience Requirements
  • Bachelor's degree in Healthcare Administration, Business Administration, Psychology, Social Work, or related field preferred; equivalent experience may be considered.
  • Minimum of 2-4 years of administrative, admissions, scheduling, intake, or healthcare coordination experience preferred.
  • Experience in behavioral healthcare, mental healthcare, or healthcare operations strongly preferred.
  • Experience working with electronic health records (EHRs), Salesforce, or similar systems preferred.
