Job Description:

Elevare Behavioral Health is seeking a PRN Admissions Coordinator to support admissions for our Illinois behavioral health programs. This role serves as an important first point of contact for individuals, families, referral partners, and community providers seeking behavioral health or substance use treatment services.The Admissions Coordinator responds to calls and digital inquiries, follows up on assigned leads, completes patient pre-screening, verifies insurance benefits, supports financial clearance, and coordinates the admissions process across Detox, Residential, PHP, IOP, and OP levels of care.Key ResponsibilitiesThe Admissions Coordinator will:• Respond to inbound calls, web inquiries, chat messages, and text inquiries with professionalism, urgency, compassion, and empathy.• Conduct outbound follow-up on assigned leads to support patient engagement and admissions conversion.• Complete patient pre-screening using Elevare’s Red, Yellow, and Green criteria.• Gather clinical, psychosocial, mental health, and substance use information to support admission decisions.• Help determine the appropriate level of care, including Detox, Residential, PHP, IOP, and OP.• Collaborate with Clinical and Operations teams to support proper placement, patient safety, medical necessity, and continuity of care.• Verify insurance eligibility, benefits, authorization requirements, and patient financial responsibility.• Communicate insurance coverage, payment expectations, and financial clearance requirements clearly.• Coordinate admission logistics, including scheduling, transportation, documentation, and internal handoff.• Maintain ongoing communication with patients, families, Business Development, Operations, and referral partners.• Identify barriers to admission and work with internal departments to resolve concerns promptly.• Refer patients to outside providers when Elevare is unable to meet their treatment needs.• Complete all required admission paperwork accurately and within established timelines.• Maintain accurate call notes, lead activity, follow-up tasks, and patient information within CRM and EHR systems.• Meet established expectations for call conversion, response time, lead follow-up, call quality, documentation, and admissions volume.• Maintain compliance with HIPAA, 42 CFR Part 2, patient rights, confidentiality standards, accreditation requirements, and facility policies.QualificationsRequired:• High school diploma or equivalent.• At least two years of experience in behavioral health admissions, healthcare intake, patient access, call center operations, or a related position.• Knowledge of mental health and substance use treatment services.• Familiarity with Detox, Residential, PHP, IOP, and OP levels of care.• Experience with insurance verification, behavioral health benefits, authorizations, or financial clearance.• Strong communication, customer service, rapport-building, organization, problem-solving, and de-escalation skills.• Ability to communicate effectively with individuals and families during stressful or urgent situations.• Experience using CRM, EHR, call tracking, or lead management systems.• Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.• Valid driver’s license with a clean driving record.• Current CPR certification or ability to obtain certification within 30 days of hire.Preferred:• Bachelor’s degree in behavioral health, social services, healthcare administration, business, or a related field.• Familiarity with ASAM criteria.• Experience using Kipu, Dazos, Call Tracking Metrics, or similar platforms.• Crisis prevention or de-escalation training, including CPI or an equivalent program.Schedule ExpectationsThis is a PRN (as needed), on-site position in Illinois.
